Property Operations Management
- Oversee daily operations and management of assigned properties.
- Ensure properties are maintained in good condition and operate efficiently.
- Monitor occupancy levels and implement strategies to minimize vacancies.
- Conduct regular inspections of buildings, common areas, and facilities.
Tenant Management
- Manage tenant onboarding, lease renewals, move-ins, and move-outs.
- Address tenant complaints, inquiries, and disputes professionally and promptly.
- Maintain good relationships with tenants and property owners.
- Ensure tenants comply with lease agreements and property regulations.
Documentation & Administration
- Prepare tenancy agreements, lease agreements, offer letters, and property-related documents.
- Maintain accurate records of tenants, clients, leases, sales, and property files.
- Assist in preparation of reports, correspondence, and property documentation.
- Ensure proper filing and confidentiality of company and client records.
Rent Collection & Financial Management
- Oversee rent collection and ensure timely payments from tenants.
- Follow up on rent arrears and outstanding balances.
- Prepare landlord remittance statements and financial reports.
- Monitor property income and expenses to ensure profitability.
- Assist in budgeting and financial planning for managed properties.
Maintenance & Repairs Coordination
- Coordinate maintenance, repairs, and renovation work for properties.
- Supervise contractors, service providers, and maintenance personnel.
- Ensure timely resolution of maintenance issues and emergency repairs.
- Monitor quality of repair and maintenance works.
Property Marketing & Leasing
- Coordinate marketing of vacant properties and units.
- Assist in sourcing tenants and conducting property viewings.
- Review and negotiate lease agreements and tenancy terms.
- Monitor market trends and rental rates to maintain competitiveness.
Staff & Service Provider Supervision
- Supervise caretakers, cleaners, security personnel, and maintenance teams.
- Coordinate activities of outsourced service providers and contractors.
- Ensure staff and service providers perform duties effectively.
Compliance & Legal Administration
- Ensure properties comply with legal, health, safety, and environmental regulations.
- Maintain updated property records, tenancy agreements, licenses, and permits.
- Assist in handling legal matters related to tenancy and property management.
- Ensure insurance policies and statutory requirements are up to date.
Reporting & Documentation
- Prepare property management reports, inspection reports, and operational updates.
