Job Title: SKU, Imports, Product Data & Catalogue Governance Assistant
Reporting To: Director
Location: Nairobi
Gross Salary: Ksh 45K – 60K + Additional Benefits
Our client is an engineering-led supplier of pumping systems, prime movers, power transmission products, and industrial equipment, supporting factories, institutions, contractors, and distributors with technical products and engineered solutions.
The organization provides warranty support, maintenance, repairs, and ongoing technical services.
This role plays a critical role in maintaining the accuracy and integrity of product data within the ERP system, ensuring that all items are properly configured, documented, and categorized for efficient use across procurement, warehouse, engineering, logistics, and sales functions.
The SKU, Imports, Product Data & Catalogue Governance Assistant is responsible for creating and maintaining SKUs, updating product metadata, supporting import documentation, and ensuring that the product catalogue remains accurate and well organized within the system.
The role also assists in resolving product data issues that may disrupt operational workflows.
The position combines product data management, system support, and cross-team coordination. It is well suited for individuals who enjoy working with structured data, maintaining clean and accurate digital records, and responding quickly to operational needs in a fast-paced environment.
Key Responsibilities:
1. SKU Creation & Product Master Data Governance


  • Create and maintain SKUs in Odoo with accurate naming, categorization, UoM, tax settings, and costing templates.
  • Ensure product metadata is complete, including:

    • Weight
    • Dimensions
    • Volume
    • HS/GHS codes
    • Packaging details

  • Coordinate with warehouse, engineering, and procurement teams to collect missing data.
  • Prevent duplicate or misclassified SKUs and maintain catalogue hygiene.


2. Import Documentation & Landed Cost Support


  • Prepare import documentation, including supplier invoices, packing lists, HS code sheets, and product specifications.
  • Coordinate with procurement and logistics to ensure customs documentation is accurate and complete
  • Maintain supplier product data sheets and price lists.
  • Support landed-cost setup and data templates for accurate costing.


3. Reactive Problem-Solving & System Support


  • Respond promptly to urgent SKU creation requests.
  • Handle catalogue corrections, product reclassification, and metadata clean-ups.
  • Investigate system discrepancies related to product data or import documentation.
  • Support engineering, warehouse, and procurement teams whenever product-data issues disrupt operations.


4. Cross-Team Relief & Workload Support


  • Provide backup support for other operational or finance roles during leave or high-volume periods (without performing stock counts or physical adjustments).
  • Assist with AR, AP, or inventory data clean-ups (data-only tasks).
  • Strengthen team continuity and operational resilience.


5. Compliance & Documentation Integrity


  • Maintain strict audit trails for all SKU changes and import-document handling.
  • Ensure product documentation is organized, complete, and easily accessible.
  • Support Senior Finance staff with data required for periodic reviews and audits.


Key Requirements & Qualifications:
Education


  • Diploma or Bachelor’s Degree in Supply Chain Management, Procurement, Business Administration, Information Systems, Accounting, Logistics, or a related field.


Experience


  • 1–2 years of relevant experience in product data management, inventory systems, ERP operations, procurement support, or logistics operations.


Key Requirements


  • Strong attention to detail and accuracy in stock verification and data recording.
  • Good analytical skills, particularly in identifying and investigating stock variances.
  • Ability to work closely with warehouse and engineering teams in a hands-on operational environment.
  • Proficiency in Microsoft Excel and other Microsoft Office tools.
  • Strong organizational and documentation skills.
  • Ability to work independently, follow structured processes, and meet deadlines.
  • Good communication and coordination skills.
  • High discipline and reliability under operational pressure.
  • Fast learner with interest in costing, inventory management, and operations.
