Role Summary: The Purchasing and Supplies Officer is responsible for the efficient and cost-effective procurement of all raw materials, packaging, equipment, and consumables required for operations. A key focus is on ensuring a consistent, high-quality supply chain that supports the bakery's production schedule.


Key Responsibilities:

Sourcing & Procurement: Source, negotiate, and purchase all direct and indirect materials, including key raw materials (e.g., flour, sugar, oil, packaging), MRO (Maintenance, Repair, and Operations) items, and production consumables.

Supplier Management: Develop and maintain strong relationships with key vendors, conducting performance evaluations and ensuring timely delivery of goods that meet quality specifications, especially for perishable bakery ingredients.

Inventory Management: Monitor stock levels and manage order schedules to prevent stock-outs or overstocking of ingredients, working closely with the Accountant and Production team to align purchasing with forecasts and production plans.

Cost Control: Drive cost savings and efficiency by identifying alternative suppliers, negotiating favorable payment terms, and monitoring market trends for key inputs.

Compliance: Ensure all purchasing and supplies activities comply with Rubis's corporate procurement policies, ethical standards, and relevant food safety regulations (liaising with the Quality Manager).

Logistics: Coordinate the logistics of incoming materials, verifying quantities and quality upon receipt, and ensuring proper storage and documentation.


Qualifications & Experience:

Bachelor's Degree in Procurement, Supply Chain Management, Logistics, or a related business field.

Professional qualification in Procurement (e.g., CIPS or equivalent) is highly desirable.

Minimum of 3 years of proven experience in a purchasing or supplies role, preferably within the FMCG, food manufacturing, or hospitality sector.

Demonstrated ability to negotiate contracts, manage vendor relationships, and handle perishable inventory.
