ROLE

You will act as the bridge between management and execution.

  • Management defines the what (roadmap, priorities).
  • You own the how (planning, task breakdown, sprint execution, follow-through).


Your core responsibility is to ensure that work is:

  • Clearly defined
  • Properly planned
  • Executed within scope
  • Delivered on time


The role can be part-time or full-time, depending on fit and performance.


KEY RESPONSIBILITIESProject & Sprint Management

  • Translate high-level roadmap items from management into clear tasks, milestones, and sprint plans
  • Plan and maintain 3–4 sprints ahead (near sprints detailed, future sprints higher-level)
  • Own the task backlog in ClickUp: prioritization, hygiene, dependencies, and status accuracy
  • Ensure sprint scope is realistic and protected from unnecessary churn
  • Review task estimates and challenge unclear or unrealistic plans


Execution & DeliveryAct as a lightweight scrum-style facilitator:Identify blockers earlyProactively resolve issues (not just escalate)

Ensure tasks actually move to completion

Keep team members focused on their defined scope and responsibilities

Ensure recurring and deadline-driven tasks (e.g. VAT filings, reporting cycles) are completed on time


Process & Documentation

Absorb and work within existing SOPs and project management processes (documented in Confluence)

Improve, refine, and extend those processes based on real-world execution

Keep documentation current, practical, and usable


Communication & CoordinationFacilitate weekly project and operations calls:Prepare agendasKeep discussions on trackCapture actions and follow-upsProvide clear, structured updates to management on delivery status, risks, and bottlenecksCoordinate across functions (operations, customer support, external partners) when needed


TOOLS YOU’LL USEClickUp (task & sprint management)Confluence (SOPs and documentation)Google Workspace (Excel / Google Sheets heavily used)


WHAT WE ARE LOOKING FORRequired Capabilities

  • Strong organizational and execution skills
  • Comfort working with ambiguous inputs and turning them into structured plans
  • Experience managing tasks, workflows, or projects with real accountability for outcomes
  • Strong written and spoken English
  • Confidence using task/project management tools (ClickUp, Jira, Asana, etc.)


Strongly PreferredExperience in eCommerce, operations, logistics, or multi-team environments
Data-savvy mindset: comfortable working with reports, spreadsheets, and operational metricsExperience improving or designing workflows, not just following themAbility to push back constructively when requirements are unclear or unrealistic

WHAT THIS ROLE IS NOT

  • Not a basic VA role
  • Not a pure note-taker, meeting scheduler, or lead-generation role
  • Not a “wait for instructions” position
  • Not a role where everything is spelled out step by step

If you need constant direction or are only comfortable executing clearly defined micro-tasks, this role will be frustrating for you.
