Job Description/Requirements
Key Responsibilities
A. Sales Administration & Support
· Support the sales team in daily activities including data entry, quotation preparation, order processing, and sales tracking.
· Maintain sales records, reports, and databases to ensure data accuracy and accessibility.
· Assist in creating, reviewing, and distributing sales materials and presentations.
B. Scheduling & Coordination
· Organize and schedule meetings between clients and internal teams (IT Director, Customer Service, Product & Sales).
· Manage calendars, appointments, and follow-ups for the sales and leadership teams.
· Coordinate logistics for client visits, demos, and product presentations.
C. Lead Generation & Pipeline Management
· Assist in identifying potential leads and managing follow-ups through CRM systems.
· Monitor sales pipelines, ensure lead updates are timely, and track conversion progress.
· Support the presales and marketing teams in follow-up campaigns and tender documentation.
D. Client Communication & Relationship Management
· Act as the primary liaison for communication between clients and the sales team.
· Ensure timely responses to client queries, proposals, and documentation requests.
· Maintain professionalism and consistency in communication across all channels (email, phone, meetings).
E. Reporting & Analytics
· Prepare daily, weekly, and monthly reports summarizing sales activities, pipelines, and performance.
· Analyze data trends and share insights with management to improve sales strategies.
· Ensure reporting accuracy and compliance with internal documentation standards.
F. Cross-Functional Collaboration
· Collaborate closely with marketing, IT, and customer service teams to ensure alignment between campaigns, solutions, and client expectations.
· Support coordination for proposals, product demos, and client onboarding.
· Contribute to the continuous improvement of internal communication and workflow processes.
G. Compliance & Administrative Management
· Maintain accurate documentation of sales contracts, purchase orders, and communication records.
· Adhere to company policies, processes, and approval procedures.
· Support audit and compliance requirements by ensuring records are up to date and accessible.
Qualifications
- Bachelor’s Degree in Business, Marketing, or a related field; MBA preferred.
- Minimum 5–7 years’ experience in sales coordination, client-facing, or administrative roles.
- Proficiency in MS Excel, CRM tools, and calendar management platforms.
- Proven experience in handling government and institutional clients.
- Strong communication, organization, and interpersonal skills.
- Ability to multitask and manage competing priorities effectively.
