Job Summary

Our client is seeking an Accounts Assistant – Payables who will effectively manage the payment obligations of the company, maintain good relationships with vendors, ensure accurate financial records, and contribute to the overall financial health and efficiency of the organization.

The ideal candidate will have a strong foundation in accounting principles, excellent attention to detail, and the ability to work both independently and collaboratively, With strong communication skills ensuring timely, accurate, and compliant financial operations while supporting and fostering positive organizational growth.

Key Responsibilities
1. Document Management

  •   Maintain organized filing (digital/physical) of invoices, receipts, and payment records.

  •   Ensure proper documentation for audit compliance.

  •   Accurately post and categorize expenses in the accounting systems (Zoho).

2. Invoice and Payment Processing

  •   Process vendor invoices in Zoho, verify approvals, and ensure timely payments.

  •   Prepare and process cheques or TT payments for vendors.

  •   Ensure that all invoices have been posted as per the report in iTax.

3. Vendor Reconciliation
 Assist in reconciling vendor statements with internal records to resolve discrepancies.

  •   Communicate with vendors for invoice/payment clarifications when needed.

  •   Ensure vendor statements are received monthly and ledgers tally.

4. Petty Cash Management

  •   Record petty cash transactions and perform monthly reconciliations.

  •   Manage petty cash as guided, ensuring proper receipts are received.

5. Statutory Payment Processing

 Assist in remittance of statutory payments (PAYE, NSSF, SHA, AHL, NITA).

6. Withholding Tax

 Prepare, reconcile, and submit withholding tax for suppliers weekly under the Chief Accountant’s guidance.

7. Collaboration and Communication

  •   Collaborate with finance, procurement, operations, and other stakeholders to resolve issues and improve processes.

  •   Communicate effectively with internal stakeholders and provide support as needed.

8. System and Process Improvement

  •   Identify opportunities for process improvements, automation, or efficiency gains.

  •   Collaborate with IT teams to enhance accounting software and tools.

9. Project Costing

  •   Assist the Chief Accountant in project costing activities.

  •   Ensure all expenses are booked per projects and share monthly reports.

    10. Internal Controls and Compliance

  •   Implement and maintain internal controls to prevent fraud, errors, and misappropriation of funds.

  •   Ensure compliance with company policies, accounting standards, and regulatory requirements in Kenya.

11. Learning and Development
 Enhance professional knowledge through training and stay updated with accounting

standards, tax regulations, and industry practices. 12. Other Duties

  •   General office duties: data entry, filing, document management, and report summaries.

  •   Perform any other tasks assigned by management.

    Minimum Qualifications and Requirements

  •   Bachelor’s degree in Finance, Accounting, Economics, or related field.

  •   1–3 years of experience in Finance/Accounting.

  •   CPA qualification is an added advantage.

  •   Strong understanding of accounting principles and practices.

  •   Excellent written and verbal communication.

  •   Analytical and problem-solving skills.

  •   Detail-oriented with strong time management skills.

  •   Proficient in Microsoft Office Suite (Word, Excel, PowerPoint); financial software

    proficiency is a plus.

  •   High attention to detail and accuracy.

  •   Professionalism and interpersonal skills.

  •   Ability to work independently and collaboratively.
