Imports and Exports Officer

·         Liaises with prospective import suppliers to obtain quotations and Proforma Invoices.

·         Applies for and follows up on Import Declaration Forms and ensures that the same are duly processed and promptly sent to the supplier.

·         Generates Purchase Orders and files for system integrity.

·         Follows up with the supplier on shipping schedule.

·         Gets freight quotations for the FOB shipments, does comparisons and gets them approved by the designated signatory.

·         Provides relevant documents to the supplier and liaises with the supplier on a continuous basis until shipment is received.

·         Liaises with inspection bodies where applicable for issuance of certificates of conformity or applies for PVoc exemption for the material that are in the scope of KEBS exemption.

·         Follows up with the supplier for documents for shipped goods.

·         Ensures that the shipping document details are correct, the description, quantity and value are as per the order / proforma invoice

·         Applies for Marine Insurance Cover.

·         Prepares and forwards relevant documentation to clearing agents and follows up on timely clearances.

·         Counterchecks the taxes charged on the Customs Entry for accuracy.

• Processes the KEBS Consignment Document once the Customs Entry is received from the Clearing agent.
• Follows up with the clearing agent on invoices.
• Ensures that all the third party invoices received are as per the contract before submitting them to Accounts for processing.
• Prepares and submits import reports to directors, production and raw material stores teams for planning as necessary.
