Job Description/Requirements

Job Summary:
Reporting to the facility Administrator/Medical Officer in Charge, the position holder is responsible for overseeing the daily operations of a clinical laboratory, ensuring high standards of accuracy, safety, reliability, and efficiency in laboratory testing and procedures. This role involves supervising and training laboratory staff, managing laboratory workflows, ensuring compliance with regulatory and safety standards, and maintaining the quality of test results.

Key Responsibilities:
Leadership and Supervision
  • Oversee day-to-day laboratory operations and supervise a team of laboratory technologists and technicians.
  • Allocate duties, develop work schedules, and ensure optimal staffing levels.
  • Provide training, mentorship, and performance evaluations for laboratory staff.
  • Enforce adherence to professional standards, safety protocols, and internal policies.
  • Conduct staff performance evaluations, address performance issues, and support continuing education and training.
  • Organize regular Laboratory team meetings to discuss the department’s performance.
  • Represent the interests of the Medical Centre in respective leadership forums and cascade strategic decisions across the different departments. 
  • Participate in the identification of training needs for self and nursing team and ensure participation of the training.
  • Ensure the Laboratory Technicians stay updated on the latest advancements in laboratory technology, standards, and practices through continuing education and professional development activities.
  • Ensure the achievement of minimal learning hours for all team members.
Patient Care and Support
Diagnostic Testing and Quality Assurance
  • Supervise and perform a wide range of diagnostic tests in areas such as hematology, microbiology, biochemistry, parasitology, and immunology.
  • Validate and verify test results to ensure accuracy and reliability.
  • Implement and monitor internal and external quality control programs.
  • Investigate and resolve discrepancies or abnormal results and report findings to clinicians.
  • Collect patient samples as per the laboratory request and prepare them for analysis.
  • Ensure all samples received in the section meet acceptance criteria - condition, acceptability, appropriateness to the test, and exceptions as per approved SOPs. 
  • Ensure proper and accurate labelling, handling, and processing of the specimens to maintain sample integrity and prevent cross-contamination.
  • Maintain proper documentation of samples and audit trail of each sample from reception in the section to release of results. 
  • Adhere to standard operating procedures (SOPs) to ensure accurate and reliable test results.
Patient care, Laboratory reporting 
  • Interact with patients during sample collection and provide necessary instructions for proper sample collection procedures.
  • Maintain a compassionate and professional approach while addressing patient concerns or inquiries related to laboratory tests.
  • Log test results to patients report forms, laboratory records and batch registers, (paper and electronic) correctly and legibly.
  • Ensuring all results are reviewed and verified before release. 
  • Ensure all out of control values are verified, timely communication done to all parties concerned.
  • Identify all critical values and report promptly to the Doctor.
  • Ensure proper handling and confidentiality of patient records and adhere to data protection regulations.
  • Monitor turnaround time of results and manage referral specimens to other hospitals.
  • Prepare and submit regular reports on lab operations, test volumes, quality indicators, and staff performance.
  • Maintain and secure patient data and lab records in accordance with confidentiality regulations.
  • Equipment Operation, Maintenance, and Inventory Management 
  • Oversee the calibration, maintenance, and proper functioning of laboratory instruments and equipment.
  • Ensure monthly stock take is done and reports generated as guided by your supervisor. 
  • Maintain an accurate inventory record to avoid stock-outs or expired supplies.
  • Ensure timely procurement and proper storage of reagents, test kits, and consumables.
  • Maintain equipment in good working condition and record on handover forms before shift change. 
  • Carry out routine preventive maintenance of laboratory equipment and handle troubleshooting.
  • Ensure planned preventive maintenance of equipment is done in liaison with the Clinical Lead or administrator.
  • Communicating to management any needs for new equipment and reporting all cases of equipment breakdown on time. 
  • Ensure maximum and cost-effective utilization of reagents and appropriate stocking of reagents and consumables through the HMIS to ensure uninterrupted laboratory operations.
Quality Assurance.
  • Maintain accurate documentation required for audits, inspections, and licensing.
  • Ensure compliance with laboratory safety procedures, environmental, health, and occupational safety measures.
  • Ensure that all safety guidelines are followed strictly at all times and maintain a clean and orderly environment, including decontaminating work surfaces and equipment daily.
  • Monitor and record environmental conditions and institute corrective actions as necessary.  
  • Analyze the Quality standards available, submit results, review reports, and participate in corrective and preventive actions as necessary. 
  • Ensure proficiency in all test SOPs and other lab SOPs, kit inserts, equipment user manuals, and materials safety data sheets. 

Compliance and Safety
  • Ensure compliance with national health and safety regulations, including biosafety standards and waste disposal procedures.
  • Maintain accurate documentation required for audits, inspections, and licensing.
  • Enforce laboratory safety policies and procedures to prevent contamination or occupational hazards.
  • Ensure compliance with laboratory safety procedures, environmental, health, and occupational safety measures.
  • Ensure that all safety guidelines are followed strictly and maintain a clean and orderly environment, including decontaminating work surfaces and equipment daily.
  • Collect and analyze the prescribed laboratory quality data, including TATs and quality lab indicators.
  • Recording all incidents, accidents, nonconformities, and participating in their investigations and resolutions. 
  • Recording any customer complaints and suggestions and assisting in their resolutions. 
  • Provides suggestions for laboratory improvement initiatives to management. 
  • Manage specimen repositories, ensure proper handling of samples post-analysis, and disposal. 

Team Collaboration  
  • Collaborate with healthcare professionals, including doctors, pharmacists, and nurses, to coordinate patient care.
  • Participate in multidisciplinary team meetings to discuss patient progress and treatment plans, including any complaints received and closure.
  • Contribute to the development and implementation of all SOPs required for the section are in place, are understood by staff in the sections, and are implemented consistently.
  • Identify areas for service improvement and make recommendations to management.
Academic and Professional qualifications
  • Degree/Diploma/ Higher Diploma in Medical Laboratory Technology.
  • At least two (3) years of working experience.
  • Registered with a valid license from the Kenya Medical Laboratory Technicians and Technologists Board (KMLTTB).
  • Broad knowledge of clinical diagnostic techniques and equipment
  • Experience in managing laboratory information systems (LIS) is an added advantage
  • Must have a clear understanding of Laboratory Quality Management Systems (QMS) and electronic medical record (EMR) systems.
  • Copy of national identification document(ID/Passport)

  • Strong technical and analytical skills in laboratory diagnostics, procedures, techniques, and equipment operation.
  • High level of accuracy and attention to detail
  • Good communication and interpersonal skills
  • Proficiency in laboratory software and data reporting tools
  • Ability to work under pressure and manage multiple tasks
  • Proficient computer skills for data entry, analysis, and report generation. 
  • Good interpersonal and communication skills for effective collaboration with the medical team and patient interaction.
  • Ability to work in a hospital environment, multitask, and prioritize workload.
