Reporting to the Facility Administrator/Medical Officer in Charge, the position holder is responsible for overseeing the daily operations of the pharmacy, ensuring the efficient delivery of pharmaceutical services, and leading the pharmacy team in ensuring safe and effective management of pharmaceutical products and services on a full-time basis. Key Responsibilities:
Leadership and Staff Management
• Supervise, guide, and coordinate the activities of pharmacy technicians and support staff.
• Assign tasks and ensure that work is completed in a timely, efficient, and accurate manner.
• Conduct training and continuing education for pharmacy staff, ensuring up-to-date knowledge of pharmaceutical practices, regulations, and technologies.
• Conduct performance evaluations and support professional development of pharmacy personnel.
• Organize regular team meetings to discuss the department’s performance.
• Represent the interests of the Medical Centre in respective leadership forums and cascade strategic decisions across the different departments.
• Participate in the identification of training needs for self and the nursing team and ensure participation in the training.
• Ensure the Pharmacy staff stay updated on the latest advancements in nursing practice through continuing education and professional development activities.
• Ensure the achievement of minimal learning hours for all team members.
• Attend training sessions, conferences, and workshops to enhance professional knowledge and skills.
Dispensing Medications
• Oversee the preparation, dispensation, and distribution of prescribed medications to patients, ensuring accuracy and compliance with medical prescriptions.
• Review and verify prescriptions for accuracy, dosage, and potential drug interactions.
• Verify prescriptions for accuracy, appropriateness, and legality.
• Accurately dispense prescribed medications to patients, ensuring proper dosage, labeling, and instructions are provided.
• Provide counseling and guidance to patients regarding medication usage, potential side effects, and precautions.
• Maintain meticulous records of dispensed medications, including patient information and quantity supplied.
Inventory and Supply Chain Management
• Ensure proper labeling of medications in line with legal and safety requirements.
• Ensure that medications are stored correctly according to safety protocols (e.g., temperature control, stock rotation).
• Perform regular stock audits, track expiration dates, and handle proper storage of medications.
• Monitor and manage pharmaceutical inventory, including ordering, receiving, and verifying stock.
• Ensure adequate stock levels of essential medications and supplies.
• Liaise with procurement to place orders and ensure the timely delivery of medications and resolve any issues related to pharmaceutical supplies.
• Collaborate with the procurement team to maintain adequate supplies.
• Maintain accurate and up-to-date records of medication dispensation, patient counseling, and inventory management.
• Prepare regular reports on pharmacy operations, inventory levels, medication usage, and staffing.
• Document and report any adverse drug reactions, medication errors, or safety concerns according to regulatory requirements.
Quality Assurance and Compliance
• Ensure compliance with all relevant laws, regulations, policies, Business processes, and ethical standards governing pharmaceutical practice in Kenya.
• Ensure adherence to policies for drug safety, handling controlled substances, and infection control.
• Implement quality control measures to ensure the accuracy of dispensed medications and prevent medication errors.
• Prepare for and participate in inspections or audits by regulatory bodies and take corrective actions as needed.
• Maintain accurate pharmacy records of all dispensed medications, prescriptions, and patient information.
• Follow proper documentation and reporting procedures for adverse drug reactions or incidents.
• Perform routine quality control checks on medications and report any issues or discrepancies.
Team collaboration and communication
• Collaborate with the healthcare team to provide comprehensive patient care and optimize treatment outcomes.
• Communicate effectively with patients, addressing their concerns and questions regarding medications.
• Work closely with other healthcare professionals, such as Doctors and nurses, to ensure seamless coordination of care.
Patient Safety
• Ensure that all medications dispensed are safe and appropriate for the patient's condition, considering allergies, drug interactions, and contraindications.
• Provide medication counseling to patients, emphasizing proper usage, potential side effects, and adherence to treatment plans.
• Address patient enquiries and provide suitable recommendations in consultation with healthcare professionals.
• Report any medication errors or concerns promptly and participate in continuous quality improvement initiatives.
• Educate patients on disease management, prevention, and self-care practices.
• Provide guidance on lifestyle modifications, adherence to medication regimens, and appropriate use of healthcare products.
Academic and Professional Qualifications
• Diploma in Pharmaceutical Technology.
• At least three (3) years of working experience, preferably in a hospital setting.
• Registered with a valid license from the Pharmacy and Poisons Board of Kenya ( PPB).
• Must be able and willing to superintend the clinic’s pharmacy
• Proficiency in computer skills (especially Health Management Information Systems).
• Training or certification in hospital administration, public health, or emergency care.
• Copy of national identification document(ID/Passport)
