Our client is one of the leading distributors of motorcycles in Kenya, looking to hire a procurement assistant who will provide operational procurement support across the organization, ensuring timely sourcing, accurate documentation, and efficient supplier management.

Key Responsibilities
Sourcing & Supplier Management
- Assist in obtaining and evaluating quotations as per company sourcing thresholds.
- Conduct market research for pricing, lead times, and supplier options.
- Support supplier onboarding by checking documentation completeness and compliance.
- Maintain an updated supplier database and track performance feedback.
Procurement Operations
- Raise and process purchase requisitions (PRs) and convert approved requests into Purchase Orders (POs).
- Follow up on order confirmations, delivery schedules, and resolve discrepancies.
- Track deliveries and coordinate with end-users to confirm receipt of goods/services.
- Ensure accurate filing of all procurement documents for audit readiness.
- Liase with user departments to ensure requisitions are captured correctly and shared on time
Compliance & Reporting
- Ensure all procurement actions comply with the Procurement Policy and delegated authority limits.
- Support preparation of procurement files for committee approvals or evaluation sessions.
Administrative Support
- Maintain procurement templates, supplier files, and contract registers.
- Handle day-to-day queries from internal stakeholders and suppliers.
- Handle goods receipt in collaboration with user departments
Qualifications & Experience
- Diploma or Degree in Procurement, Supply Chain Management, Business, or a related field.
- Minimum 2–3 years’ work experience in procurement or supply chain operations.
- CIPS Level 4 or progression toward CIPS qualification is an added advantage.
- Working knowledge of the P2P cycle, sourcing process, contract principles and supplier management.
- Strong attention to detail and accuracy.
- Good negotiation and communication skills.
- Ability to multitask and manage deadlines in a fast-paced environment.
- Proficiency in MS Office and experience with ERP systems (SAP, Oracle, Odoo, or similar).
- Integrity, confidentiality, and commitment to ethical procurement practices.
