Reporting to:
The Tour Product Assistant will report to the Head of Product, alongside working collaboratively with the wider Product Team.
Overview:
The Tour Product Assistant will work within a small team responsible for the processing of all transactions relating to supplier management.
Responsibilities:
● Gathering and uploading of all supplier collateral and data into the Company’s Client Relationship Management (CRM) system, including for example:
o Requesting supplier collateral for the next financial year.
o Rate sheets, fact sheets, lodge and room layout maps etc..
o Health and safety documents (depending on supplier type).
● Reviewing validity of each season from previous financial year.
● Ensuring supplier Health and Safety and insurance documentation are compliant and up to date.
● Updating all supplier details in the Company’s CRM system, including for example:
o Payment terms & conditions.
o Cancellation Terms.
o Contact details.
o Board types.
● Updating all Property details in the Company’s CRM system, including for example:
o Inclusions and Exclusions;
o Closure dates.
o Custom locations and airstrips.
o Room types and occupancy details.
o Children ages.
o Minimum stays.
o Price categories.
o Safari Portal and other intergration plaforms ID’s.
o Experiences per supplier, property and park, including rates.
o Res Request codes
● Updating supplier specials within the Rates Management System (RMS).
● Updating the Flight Manual & Aviation data as required.
● Adding in all new properties and suppliers (once approved by the Product Manager) into the Company’s CRM.
● Upload feedback data into the Company’s CRM within the relevant property pages including third party fam trip reports and client feedback.
● Update all supplier rates into the Company’s RMS.
● Entering in all new supplier and new property rates into the Company’s RMS. Once entered all rates need to be tested prior to being activated.
● Proactively escalating of any concerns or changes that require sign off e.g., supplier non-response, non compliance with H&S standards, to the Head of Product for resolution.
● Actively engage in ongoing soft and technical skills training, e.g., CRM, RMS, in order to maintain a team of excellence.
Qualifications and Experience
● Minimum of 3 years’ experience within the tours and travel industry.
● Strong data entry skills with excellent attention to detail and accuracy.
● Good mathematical aptitude and ability to work with supplier rates and payment plans.
● Understanding of the tourism industry, particularly safari products across East Africa.
● Proficiency in working with systems such as CRM and RMS platforms.
● Strong communication and coordination skills to support sales and supplier relationships.
● Ability to assist with logistics and product information to support the sales team.
● International work experience is preferred
