ACCOUNTANT

1. JOB PURPOSE

The role will be responsible for maintaining accurate accounting records, managing the general
ledger, supporting financial reporting and analysis, overseeing reconciliations, coordinating tax
compliance, monitoring cash flows, and supporting budgeting and forecasting processes.
The Accountant will work closely with the Finance team and other departments, including
Operations, Commercial, Procurement, Supply Chain, Human Resources, and Executive
Management, to ensure that financial information is accurate, timely, complete, and useful for
decision-making.
The successful candidate should have strong technical accounting skills, excellent attention to
detail, commercial awareness, and the ability to identify financial risks and recommend practical
solutions.

2. KEY RESPONSIBILITIES

A. Financial Reporting & Analysis
Period-End Closing


  • Lead and coordinate the monthly, quarterly, and annual financial close processes.
  •  Ensure all accounting transactions are accurately captured before the close of each
  • reporting period.
  •  Prepare closing schedules, reconciliations, accruals, provisions, and supporting
  • documentation.
  •  Ensure financial reports are prepared and submitted within agreed timelines.
  •  Identify and resolve accounting discrepancies before finalization of financial reports.
Financial Statement Preparation

 -Prepare and review key financial statements, including:
  •  Statement of Financial Position / Balance Sheet
  •  Statement of Profit or Loss and Other Comprehensive Income
  •  Cash Flow Statement
  •  Statement of Changes in Equity
  •  Supporting schedules and management accounts
- Ensure financial statements comply with applicable accounting standards, policies, and
regulatory requirements.
- Prepare management accounts and financial reports for review by the CFO/Head of
Finance and management.

Variance Analysis

- Analyze actual financial performance against:
  •  Approved budgets
  •  Forecast
  •  Prior periods
  •  Business targets
- Investigate significant variances and identify underlying causes.
- Prepare variance analysis reports with clear explanations and actionable
recommendations.
 -Work with departmental heads to understand operational drivers behind financial
performance.
- Highlight emerging financial risks and opportunities to management.

3. GENERAL LEDGER & RECONCILIATION

General Ledger Management

  •  Maintain the integrity and accuracy of the general ledger.
  •  Review accounting entries and ensure transactions are posted to the correct accounts and

cost centers.

  •  Prepare, review, and post journal entries in accordance with company accounting
  • policies.
  •  Ensure appropriate supporting documentation exists for all material transactions.
  •  Investigate unusual or aged ledger balances and ensure timely resolution. Account Reconciliation
  •  Prepare, review, and maintain balance sheet reconciliations, including:
  • Bank accounts
  •  Customer accounts
  •  Supplier accounts
  •  Fixed assets
  • oAccruals
  •  Prepayments
  •  Tax accounts
  •  Loans and financing
  • Intercompany balances
  •  Ensure reconciling items are investigated and cleared within agreed timelines.
  • Escalate long-outstanding or material reconciling items to management.
Fixed Asset Management

  •  Maintain an accurate and up-to-date Fixed Asset Register.
  •  Record capital expenditures, additions, transfers, disposals, and retirements.
  •  Calculate and post depreciation accurately.
  •  Reconcile the fixed asset register to the general ledger.
  •  Support periodic physical verification of company assets.
  •  Ensure proper authorization and documentation for asset disposals and transfers.
Intercompany Accounting

  •  Record and reconcile intercompany transactions across Gasfil's subsidiaries, branches,
  • and related entities.
  •  Ensure intercompany balances are regularly reconciled and confirmed.
  •  Investigate and resolve intercompany discrepancies.
  •  Support intercompany eliminations during group reporting where applicable.
4. TAX COMPLIANCE & STATUTORY FILINGS

Tax Returns & Compliance

  •  Prepare, review, and coordinate timely submission of statutory tax returns and

declarations.

  •  Support compliance with applicable Kenyan tax obligations, including:
 -VAT
-Corporate Income Tax
 -PAYE
 -Withholding Tax
 -Excise-related obligations where applicable

Other statutory tax obligations

  •  Maintain accurate tax schedules and reconciliations.
  •  Reconcile tax control accounts to statutory returns and the general ledger.
  •  Monitor changes in tax legislation and communicate relevant implications to the Finance
  • team.
  •  Ensure tax documentation is properly maintained and readily available for review.
Audit Coordination


  •  Act as a key liaison with internal and external auditors.
  •  Coordinate the preparation of audit schedules and supporting documentation.
  •  Respond to audit queries and ensure timely provision of requested information.
  •  Track audit findings and support implementation of agreed corrective actions.
  •  Maintain proper audit trails for financial transactions and balances.
Regulatory Compliance

  •  Ensure accounting and financial processes comply with applicable laws, regulations,
  • accounting standards, and company policies.
  •  Monitor statutory filing deadlines and ensure timely compliance.
  •  Escalate potential compliance risks to the CFO/Head of Finance.
5. INTERNAL CONTROLS & GOVERNANCE

Internal Controls

  •  Support the development, implementation, and monitoring of effective financial controls.
  •  Identify weaknesses in accounting processes and recommend corrective measures.
  •  Ensure proper segregation of duties within finance processes.  Monitor compliance with approved financial policies and procedures.
  •  Support controls designed to safeguard company assets and minimize fraud, error, and
financial leakage.

Accounting Policy Enforcement

  •  Ensure transactions are processed in accordance with approved accounting policies.
  •  Support the development and updating of accounting procedures as the organization
  • grows.
  •  Ensure accounting practices remain aligned with applicable accounting standards and
  • regulatory requirements.
  •  Communicate changes in accounting requirements to relevant Finance team members.
Data Integrity

  •  Conduct regular reviews of accounting systems and ledger accounts to identify errors,
  • unusual transactions, and inconsistencies.
  •  Ensure financial data is complete, accurate, and properly supported.
  •  Perform periodic reviews of system-generated reports and accounting records.
  •  Support the implementation of improvements to accounting systems and processes.
6. TREASURY, BUDGETING & CASH MANAGEMENT

Cash Flow Monitoring

  •  Monitor daily cash positions and company liquidity.
  •  Prepare and maintain short-term and medium-term cash flow forecasts.
  •  Monitor expected receipts and payments to identify potential liquidity gaps.
  •  Provide management with timely information on cash availability and funding
  • requirements.
  • Support treasury planning and banking activities.
Budgeting & Forecasting

  •  Support the preparation of annual departmental and company budgets.
  • Work with department heads to collect, validate, and consolidate budget information.
  •  Assist in preparing rolling forecasts and periodic financial projections.
  •  Monitor actual expenditure against approved budgets.
  •  Identify potential overspending and provide early warnings to management. Accounts Payable
  •  Oversee the accuracy and completeness of supplier invoices and supporting
documentation.
  •  Ensure supplier invoices are properly approved before payment.
  •  Monitor supplier balances and payment schedules.
  •  Review supplier reconciliations.
  •  Support effective supplier credit management and working capital optimization.
Accounts Receivable

  •  Monitor customer invoicing and collections.
  •  Maintain accurate customer accounts and aging schedules.
  • Review aged receivables and identify overdue accounts.
  •  Support credit control and collection efforts.
  •  Work closely with the Commercial and Operations teams to resolve customer account
issues.
  •  Provide management with regular receivables and collection reports.
7. CROSS-FUNCTIONAL SUPPORT

Collaboration with Other Departments

  •  Partner with Operations to understand operational costs, profitability, and financial
  • performance.
  •  Work with Commercial and Sales teams to monitor revenue, customer accounts,
  • margins, and credit exposure.
  •  Collaborate with Procurement and Supply Chain on supplier accounts, purchases,
  • inventory-related transactions, and working capital.
  •  Work with HR on payroll accounting, staff costs, statutory deductions, and employee
  • related financial matters.
  •  Support Executive Management with financial information required for strategic and
  • operational decisions.
  •  Provide financial analysis to support new projects, investments, business expansion, and
  • commercial initiatives.
Management Decision Support

  •  Provide accurate and timely financial information to management.
  •  Prepare financial analysis and reports to support decision-making.  Highlight financial risks, cost pressures, and opportunities.
  •  Support business cases and financial evaluations for new projects and investments.
  •  Assist management in understanding the financial implications of operational decisions.
8. FINANCIAL SYSTEMS & PROCESS IMPROVEMENT

  •  Ensure accounting transactions are properly processed within the company's
  • accounting/ERP system.
  •  Identify opportunities to automate and improve financial processes.
  •  Improve efficiency in reconciliations, reporting, collections, payables, and financial
  • controls.
  •  Support implementation or enhancement of accounting systems.
  •  Develop standardized financial schedules, templates, and reporting tools.
  • Ensure proper documentation of financial processes and procedures.
10. QUALIFICATIONS & EXPERIENCE

Academic Qualifications

  •  Bachelor's Degree in Accounting, Finance, Commerce, Business Administration, or a
  • related field.
  •  CPA (K) qualification is required.
  •  Membership in ICPAK or another recognized professional accounting body will be an
  • advantage.
Professional Experience

  •  Minimum 3–5 years of relevant accounting experience.
  •  Experience in financial reporting, reconciliations, tax compliance, budgeting, and
  • management accounts.
  •  Experience working with accounting/ERP systems.
  •  Experience in a growing organization with multiple business lines or entities will be an
  • advantage.
