Position Overview
The Property Manager will be responsible for the comprehensive financial, operational, and administrative management of a residential property comprising 20 apartments. This role requires strong accounting expertise and property management capabilities to ensure efficient operations and compliance with applicable regulations.
Key Responsibilities
Financial Management
● Prepare and present annual budgets for Board approval
● Maintain accurate financial records and accounting systems for all property operations
● Generate and issue monthly invoices to owners and residents for service charges and water bills
● Manage accounts receivable and payable, including service charge collection
● Monitor payment compliance and enforce timely payment of levies and utility bills
● Implement collection procedures for overdue accounts in accordance with by-laws
● Process monthly levy statements and track payment compliance
● Prepare quarterly and annual financial reports for the Board
● Coordinate annual audits and liaise with external auditors
● Ensure timely payment of utilities, insurance, and vendor invoices
Operational Management
● Supervise maintenance of common areas and building infrastructure
● Coordinate repairs, renovations, and capital improvement projects
● Manage relationships with contractors, suppliers, and service providers
● Ensure compliance with health, safety, and building regulations
● Oversee security arrangements and access control systems
● Monitor utility consumption and identify cost-saving opportunities
Administrative Duties
● Maintain comprehensive records of property documentation
● Organize and coordinate Board and Annual General Meetings
● Prepare meeting agendas, minutes, and resolutions
● Handle resident communications and address concerns promptly
● Enforce property by-laws and rental agreements
● Manage insurance policies and claims processes
● Ensure compliance with the Sectional Properties Act and related legislation
Reporting
● Provide monthly management reports to the Board
● Track key performance indicators for property operations
● Document all major decisions and expenditures
● Maintain transparent communication channels with stakeholders
Required Qualifications
Essential:
● CPA-K (Certified Public Accountant - Kenya) certification - mandatory
● Minimum 3-5 years experience in accounting or financial management
● Strong understanding of Kenyan property law, particularly the Sectional Properties Act
Preferred:
● Previous property or facilities management experience
● Knowledge of building maintenance and operations
● Familiarity with property management software
