Job Summary

We are seeking a highly organized and experienced Stores Manager to oversee all aspects of our stores operations. This critical role will be responsible for managing the inventory of raw materials (for processing), spare parts (for factory and engineering), consumables, and other essential supplies. The Stores Manager will ensure efficient storage,

Job Description/Requirements

Inventory Management:

o Develop and implement efficient inventory control systems and procedures to optimize stock levels and minimize waste and obsolescence.

o Monitor stock levels regularly, track consumption patterns, and forecast future material requirements for all departments.

o Conduct regular stock audits and reconciliations to ensure accuracy of inventory records.

o Manage the receipt, inspection, and storage of all incoming materials, ensuring proper handling and documentation.

o Implement and manage a system for identifying and disposing of slow- moving, obsolete, or damaged stock.


Stores Operations:

o Oversee the day-to-day operations of all stores locations, ensuring efficient and organized storage and retrieval of materials.

o Manage the issuance of materials to various departments based on authorized requisitions.

o Ensure proper documentation for all material movements (receipts, issues, returns).

o Maintain a clean, safe, and organized stores environment in compliance with safety regulations.

o Supervise and manage stores personnel, including training, performance management, and work allocation.


Procurement Liaison:

o Collaborate closely with the procurement department to provide accurate information on stock levels and reorder points.

o Assist in identifying and evaluating potential suppliers for various materials.

o Participate in the negotiation of terms and conditions with suppliers as required.

o Ensure timely communication with procurement regarding material shortages or delays.


Factory and Engineering Support:

o Maintain an adequate stock of critical spare parts and consumables required for the continuous operation of the tea processing factory and engineering equipment.

o Implement a system for tracking the usage of spare parts and anticipating future maintenance needs.

o Work closely with the factory and engineering teams to understand their material requirements and ensure timely availability.


Record Keeping and Reporting:

o Maintain accurate and up-to-date records of all inventory movements, stock levels, and stores transactions using a suitable inventory management system.

o Prepare regular reports on inventory levels, stock movements, consumption patterns, and potential stock issues for management review.

o Analyze inventory data to identify trends and opportunities for improvement in inventory management practices.


Budget Management:

o Contribute to the development of the stores budget.

o Monitor and control stores-related expenses to ensure adherence to the budget.

o Identify and implement cost-saving measures in stores operations.


Compliance and Safety:

o Ensure compliance with all relevant health and safety regulations within the stores areas.

o Implement and enforce safety procedures for handling and storing different types of materials.


Team Leadership:

o Provide effective leadership and guidance to the stores team.

o Foster a positive and collaborative work environment.

o Conduct regular team meetings and performance reviews.


Qualifications and Experience:

  •  Bachelors degree in Supply Chain Management, Logistics, Accounting
  •  Proven experience in stores management (5years), preferably within a manufacturing or agricultural environment with factory and engineering operations.
  •  Strong understanding of inventory management principles and best practices.
  •  Experience in managing a diverse range of materials, including raw materials, spare parts, and consumables.
  •  Proficiency in using inventory management software and MS Office Suite (especially Excel).
  •  Excellent organizational, planning, and problem-solving skills.
  •  Strong leadership and team management abilities.
  •  Excellent communication and interpersonal skills.
  •  Ability to work independently and as part of a team.
  •  Strong attention to detail and accuracy.
  •  Knowledge of safety regulations related to storage and handling of materials.
  •  Knowledge of procurement processes.
  •  Certification in supply chain management/accounting or logistics.
