Job Mission
You form an integral part of our ecosystems by executing the commercial strategy. You will be integral in the generation and execution of this strategy in a bid to bridge the talent gap in Africa. You will play a critical role in ensuring the efficient management of procurement processes, administration, and operational support. Your role involves sourcing and purchasing goods and services, managing vendor relationships, optimizing procurement systems, and controls, and overseeing administrative processes to ensure smooth business operations. Ideally, you must have strong negotiation skills, organizational expertise, and the ability to coordinate and interact with cross-functional teams and senior management.

Responsibilities
1. Vendor Management
● Ensure all vendors are registered and categorized according to product or cost categories.
● Maintain an updated vendor database and ensure payments are not made to unregistered vendors.
● Ensure fair and ethical vendor selection in line with company policies.
2. Request for Quotes/Proposal (RfQ/P) & Vendor Selection
● Receive approved requisition forms, reviewing RFQ/P and confirm alignment with the HoD
● Obtain competitive quotes from vendors based on reasonable value limits and local market conditions.
● Ensure that the procurement email is copied on all vendor correspondences.
● Provide vendors with whistleblowing information for ethical transparency.
● Ensure at least two quotes for purchases below $1,000 and three quotes for those above $1,000.
● Document and communicate additional amendments or offers during the procurement process.
3. Procurement Coordination
● Extract and present quotes received for evaluation by the Requisition Department.
● Organize meetings with vendors for presentations and discussions.
● Facilitate the rubric assessment process for high-value sourcing.
● Ensure fair scoring of vendors based on agreed criteria, including quality, cost, delivery time, and service scope.
● Prepare the vendor contract and share the same with Finance including the documentation trail of the vendor selection
4. Purchase Order & Invoice Management
● Ensure all invoices contain essential details such as company name, order number, tax information, and payment terms.
● Confirm that invoices are addressed to the appropriate department and not individuals.
● Ensure compliance with contract terms and delivery expectations before approving final payments.
● Ensure requisitions are submitted to Finance for budget review and compliance checks before incurring costs.
5. Compliance & Quality Assurance
● Ensure that all vendor engagements and agreements align with BMK’s procurement policies.
● Oversee quality control for all goods and services procured, ensuring they meet agreed specifications.
● Work closely with Finance to monitor compliance with procurement best practices.
● Ensure penalties are enforced for vendor non-compliance and delivery delays.
6. Cash Advance & Expense Retirement
● Oversee cash advance requests and ensure proper documentation and approval before disbursement.
● Monitor cash advance retirements to ensure they are submitted within the stipulated deadlines with complete supporting documents.
7. Ethical & Legal Compliance
● Prevent staff from acting as vendors directly or through proxies.
● Ensure staff declare any relationships with vendors before engagements.
● Enforce penalties for policy violations, including poor service delivery and procurement process breaches.

KPIs to measure success
● Vendor Management Efficiency – Ensure 100% of vendors are registered before processing payments.
● Quotation Compliance – Obtain at least two quotes for purchases below $1,000 and three for those above $1,000.
● Procurement Turnaround Time (TAT) – Ensure at least 95% of procurement requests are processed within agreed timelines.
● Cost Savings through Competitive Bidding – Achieve X% savings per procurement cycle.
● Rubric Assessment Compliance – Ensure 100% rubric assessment for sourcing above $1,000.
● Invoice & Payment Accuracy – Maintain a minimum 95% accuracy rate in purchase orders and invoices.
● Vendor Quality Assurance – Ensure that 100% of received goods/services meet agreed specifications.
● Ethical Compliance & Policy Adherence – Maintain zero procurement ethics violations.
● Procurement Committee Engagement – Conduct procurement committee meetings and vendor evaluations for all high-value sourcing.

● Bachelor's degree in Procurement, Supply Chain Management, Business Administration, Finance, or a related field.
● A minimum of 5 years of experience in procurement, supply chain, or purchasing roles.
● Professional certification in procurement (e.g., CIPS, CPSM) is an added advantage.
● Experience working in a structured procurement environment within a corporate setting.
