JOB TITLE:ACCOUNTANT

NATURE OF JOB: FULL TIME

DUTIES AND RESPONSIBILITIES

Maintain Accurate Financial Records

  • Record daily financial transactions, ensuring accuracy and completeness.
  • Prepare and maintain general ledger entries and adjust journal entries as needed.
  • Manage the chart of accounts in accordance with the organization’s financial structure.
  • Regularly update financial records to reflect real-time financial positions.


Accounts Payable & Receivable Management

  • Monitor incoming payments and ensure timely invoicing to clients/customers.
  • Track accounts receivable and follow up on overdue accounts.
  • Process vendor invoices, verify transactions, and schedule payments while ensuring adherence to credit terms.
  • Reconcile supplier statements and resolve any discrepancies.


Bank and Cash Reconciliation

  • Perform daily and monthly bank reconciliations to ensure alignment of financial records.
  • Monitor cash flow and petty cash usage to maintain adequate liquidity.
  • Identify and resolve discrepancies in cash transactions.


Budgeting and Forecasting Support

  • Collaborate with departmental heads to collect and compile budget inputs.
  • Assist in the development of the annual budget, ensuring alignment with strategic goals.
  • Monitor actual expenditures against budgeted figures and highlight variances.
  • Assist in revising forecasts based on actual performance and updated assumptions.


Tax and Statutory Compliance

  • Prepare and file monthly and annual tax returns (VAT, PAYE, SHIF, NSSF, Withholding Tax, etc.) in compliance with KRA and other regulatory bodies.
  • Keep up-to-date with tax law changes and ensure the organization remains compliant.
  • Respond to tax authority inquiries and audits as needed.
  • Maintain accurate and organized documentation for all statutory filings.


Financial Reporting

  • Prepare and present timely and accurate monthly, quarterly, and annual financial statements (Income Statement, Balance Sheet, and Cash Flow Statement).
  • Provide insightful financial analysis and commentary to aid in management decision- making.
  • Support the preparation of financial reports for board meetings, investors, and external auditors.


Internal Controls and Audit Support

  • Implement and uphold strong internal financial controls to safeguard company assets.
  • Support both internal and external audit processes by providing necessary documentation and responding to queries.
  • Monitor compliance with internal financial policies and procedures.


Use of Accounting Software

  • Maintain and update financial data using accounting software (e.g., QuickBooks, Sage, or ERP systems).
  • Generate reports from the system to support financial analysis and audits.
  • Ensure data integrity by performing regular system backups and reconciliations.


Inventory and Asset Management (if applicable)

  • Support inventory tracking and reconciliation in coordination with operations or warehouse teams.
  • Maintain an up-to-date fixed asset register and manage asset tagging and depreciation schedules.


Collaboration and Support

  • Work closely with other departments to provide financial insights and resolve budget- related queries.
  • Provide training or support to junior finance staff or interns when needed.
  • Attend finance meetings and contribute to discussions on improving financial systems or efficiency.


KEY REQUIREMENT SKILLS AND QUALIFICATION

  • Degree in Accounting, Finance, or a related field
  • CPA qualification (at least CPA Part II or full certification)
  • Minimum of 2 years of accounting experience in a busy environment
  • Proficiency in accounting software (e.g., QuickBooks, Sage, or similar)
  • Solid understanding of Kenyan tax laws and financial regulations
  • High level of integrity, accuracy, and attention to detail
  • Strong analytical and organizational skills
  • Ability to work independently and as part of a team
