As part of our continued growth, we are seeking a highly organized and proactive Clinic Operations Manager to oversee the day-to-day administrative and operational functions of the clinic while ensuring efficient patient services, effective insurance claims management, and seamless coordination between clinical and administrative teams.

Role Summary

The role requires a professional with hands-on experience in healthcare administration and medical insurance claims management within a hospital or specialist clinic environment.

The Clinic Operations Manager will oversee clinic operations, supervise administrative staff, manage medical insurance claims and billing processes, and support the clinical team to ensure smooth service delivery and a positive patient experience.


Key ResponsibilitiesClinic

Operations Management

Oversee the daily administrative and operational activities of the clinic.

Coordinate patient flow to ensure efficient consultations and reduced waiting times.

Ensure smooth functioning of reception, appointment scheduling, and billing processes.

Maintain accurate and organized patient and administrative records.

Ensure clinic operations comply with healthcare regulations and internal policies.


Insurance Claims & Billing Management

Oversee submission and follow-up of medical insurance claims.

Liaise with insurance providers for pre-authorizations, approvals, and claims reconciliation.

Follow up on outstanding or rejected claims and resolve discrepancies.

Maintain accurate billing records in compliance with insurance requirements.


Administrative Oversight

Supervise front office and administrative staff.

Coordinate clinic schedules, appointments, and operational calendars.

Prepare periodic reports on clinic operations, claims processing, and administrative performance.

Manage official clinic documentation and correspondence.


Patient Experience & Service Quality

Ensure patients receive professional and efficient service.

Address patient concerns and complaints promptly.

Support initiatives aimed at improving patient satisfaction.


Staff Supervision

Provide supervision and guidance to administrative staff.

Support onboarding and training of new administrative team members.

Promote teamwork and adherence to clinic operational standards.


Compliance & Confidentiality

Maintain strict confidentiality of patient information.

Ensure compliance with healthcare regulations, clinic policies, and data protection standards.


Qualifications]

Diploma or Bachelor’s Degree in Healthcare Administration, Hospital Management, Business Administration, or a related field.

Minimum 3 years’ experience working in a hospital, specialist clinic, or medical practice in an administrative or operations role.

Demonstrated experience handling medical insurance claims and billing processes.

Experience using hospital or clinic management systems (HMIS) will be an added advantage.

Proficiency in Microsoft Office applications.
