Role Purpose
Growthpad is looking for a high-potential Events Management Intern who wants to build a serious career in event strategy, production, coordination, and execution.
This is not a passive internship and it is not an administrative support seat. It is a hands on, high ownership role for a candidate who can combine operational discipline, client maturity, creativity, commercial awareness, and strong execution under pressure.
The Events Management Intern will support the end-to-end planning and delivery of Growthpad events across corporate, brand, stakeholder, internal, public, and partner formats. These may include conferences, launches, executive roundtables, workshops, summits, exhibitions, media events, webinars, hybrid experiences, client activations, and thought leadership events.

concept to closeout and who is serious about becoming a top tier events professional.

Key Responsibilities
1. Event Planning and Project Coordination
Support the planning and execution of events from concept through closeout. This includes timelines, trackers, planning documents, meeting notes, action lists, workback schedules, and internal coordination across teams.
Key expectations
● Support the development of event work plans and master timelines
● Track deliverables across internal teams, vendors, venues, speakers, and partners
● Maintain accurate planning documents and ensure strong version control
● Flag delays, gaps, bottlenecks, or risks early with practical recommendations
● Support meeting preparation, follow ups, and status updates
● Assist in rehearsal planning and readiness reviews
2. Venue Research and Logistics Coordination
Support the venue and logistics planning process with strong attention to suitability, flow, accessibility, service standards, and operational practicality.
Key expectations
● Research and compare venues based on event format, audience size, layout, accessibility, cost, and logistics
● Support venue visits, basic venue assessments, and logistics checks
● Assist with floor plans, rooming plans, seating layouts, signage plans, and guest flow planning
● Coordinate setup and breakdown schedules with relevant stakeholders
● Help confirm operational requirements such as power, staging, internet, security, registration space, holding areas, and catering zones
3. Vendor and Supplier Management
Support the operational ecosystem around each event through disciplined coordination of allthird party suppliers.
Key expectations
● Source and compare vendors for catering, branding, AV, photography, videography, printing, transport, decor, staffing, exhibition structures, and event materials
● Track quotations, approvals, confirmations, timelines, and delivery status
● Support supplier briefings to ensure every vendor understands scope, standards, setup times, service requirements, and reporting lines
● Follow up closely to ensure quality, timeliness, and accountability
● Support issue resolution where supplier performance falls below expectations
4. Registration, Guest Management, and Attendee Experience
Support the full attendee journey from invitation to follow up, ensuring that the guest experience is smooth, professional, and well organised.
Key expectations
● Maintain RSVP trackers and guest registration databases
● Prepare guest lists, badges, name tags, seating plans, and check in materials
● Draft and send guest communication such as invitations, confirmations, reminders, directions, and event updates
● Support front of house coordination, registration desks, help desks, and attendee flow
● Help manage VIP guests, speakers, partners, and special requirements with professionalism and calmness
● Ensure a polished guest experience throughout the event lifecycle
5. Programme and Speaker Support
Support the event programme and speaker management process to ensure that content delivery is organised, timely, and well coordinated.
Key expectations
● Coordinate speaker information including bios, headshots, session titles, presentations, and session requirements
● Prepare speaker briefing notes and communication packs
● Assist with agenda formatting, run of show documents, cue sheets, and stage flow planning
● Support speaker logistics and readiness before and during the event
● Help manage presentation collection, version tracking, and session timing
● Support rehearsals and technical run throughs where required
6. On Site Event Execution
Play an active role during live event delivery. This requires professionalism, urgency, calm decision making, and the ability to adapt quickly when conditions change.
Key expectations
● Arrive early and support event setup readiness
● Coordinate with suppliers and internal teams to ensure operational preparedness
● Support registration, guest arrival, room readiness, signage placement, and stage support
● Help troubleshoot issues in real time during live delivery
● Support session transitions, backstage coordination, timing, and stakeholder movement
● Assist with event closeout, breakdown, returns, and final checks
7. Budget Support and Cost Tracking
Support financial discipline across events by helping monitor approved costs and operational spending.
Key expectations
● Assist in collecting and comparing vendor quotes
● Support cost tracker updates and budget working sheets
● Follow up on approvals and purchase requirements
● Help ensure that event needs are delivered within approved financial parameters
● Escalate cost risks or unplanned requests early
8. Risk Management, Compliance, and Duty of Care
Support event readiness from a risk, safety, and compliance perspective.
Key expectations
● Help prepare event risk checklists and operational readiness notes
● Identify possible risks related to venue, guest flow, suppliers, timing, weather, equipment, transport, and programme delivery
● Support venue compliance checks and safety briefings
● Ensure emergency contacts, escalation routes, and key documents are readily available
● Support safe setup and breakdown practices
● Escalate issues early rather than waiting for them to become visible problems
9. Event Marketing and Communications Support
Because Growthpad operates at the intersection of events and business growth, this role also includes supporting promotion and communication for selected events.
Key expectations
● Assist in the development and distribution of event promotional content
● Support campaign execution across email, WhatsApp, social media, partner outreach, and other relevant channels
● Coordinate event updates such as speaker announcements, agenda highlights, reminders, and registration pushes
● Work with designers, writers, and digital teams to keep communications on schedule
● Track registration momentum and help identify gaps in turnout or audience engagement
10. Post Event Reporting and Learning
Support the evaluation and closeout process to ensure every event produces actionable learning and measurable outcomes.
Key expectations
● Prepare debrief notes and post event summaries
● Support post event surveys, attendee feedback gathering, and internal reflections
● Track metrics such as registrations, attendance, no show rate, satisfaction feedback, stakeholder participation, lead capture, and content delivery performance
● Organise event assets including photography, video, reports, presentations, and attendance records
● Document lessons learned and recommendations for future improvement

Candidate Profile

Qualifications and Experience
Required
● Bachelor’s degree completed in Event Management, Hospitality, Marketing, Communications, Public Relations, Business, or a related field
● Demonstrable experience supporting at least 2 to 3 events through school, freelance work, internships, volunteer leadership, community work, church, campus, agency, or company environments
● Strong written and verbal communication skills
● Good command of Microsoft Office and Google Workspace, especially Excel, PowerPoint, Docs, and Sheets
● Strong organisational ability with excellent attention to detail
● Ability to manage multiple tasks and competing deadlines
● Willingness to work flexible hours when event schedules require it
Preferred
● Previous internship or part time experience in events, marketing, hospitality, agency
operations, client service, or communications
● Familiarity with event registration tools, webinar platforms, CRM systems, or project management tools
● Exposure to supplier coordination, venue management, or production support
● Basic budgeting or cost tracking experience
● Exposure to both physical and virtual events
● Basic design capability using Canva or similar tools
