The Aga Khan Hospital, Kisumu (AKHK) is an Institution of the Aga Khan Health Service, Kenya, which is an Agency of the Aga Khan Development Network. The Hospital is part of a network of health facilities, which includes Hospitals and Outreach Health Facilities across East Africa.
The Aga Khan Hospital, Kisumu is in an exciting growth phase and has attained acknowledgment of its quality by achieving ISO 9001:2015 certification, ISO 15189:2022 accreditation for laboratory services, Safe Care level 5 accreditation and is at advanced stage of attaining Joint Commission International Accreditation.
AKHK has Outreach Health Services at Kisii, Kakamega, Kitale, Bungoma, Kericho, Kibuye-Kisumu, West End- Kisumu, Busia, Homa - Bay, Migori, Bomet, Eldoret, Kimilili, Nyamira, Kabarnet and an upcoming Medical Centre in Lodwar.
Reporting to the Medical Officer In charge, the successful candidate will capture revenue in line with hospital policies while collaborating with clinical staff to support smooth patient flow and minimize waiting time.
Consistently provide quality service to enhance customer satisfaction and reduce risks to both patients and the hospital.
PATIENT SERVICES OFFICER - AGA KHAN MEDICAL CENTRE, LODWARKEY RESPONSIBILITIES
- Punctually Report to workstation as per the schedule Plan, demonstrate strong interpersonal skills by engaging respectfully with patients and staff, promote good public relations by making patients feel at ease and recognized.
- Welcome and Assisting patients with registration on Hmis - (Using Legal documents i.e. (ID, passport, birth certificate) completing necessary forms and documentation, verify that all information acquired is accurate and Current.
- Respond to customer enquiries promptly and professionally, manage patient queues and provide timely information to enhance service flow.
- Greet clients warmly and thank them after service to promote a welcoming environment while maintaining personal and department cleanliness.
- Answer telephone calls promptly while applying proper telephone etiquette.
- Issue claim forms and preauthorization documents to patients to fill in personal details (Confirm that Claim forms are accurately Filled) and advise patients to hand over Claim forms to the clinical team-(Doctors) When being attended to.
- Confirms and Collect Cash/Mpesa/Credit card payments, issue receipts, and safeguard all receipted money until handed to the chief cashier- and issued with a Part cash collection slip) /Or Banked in the Cash safe Provided while documenting all the banking in Cash register provided as per admission and cash and Banking Policy.
- Scan preauthorization forms for elective admissions and follow up for approvals before admission day. Document and Escalate all not approved requests before end of the shift for Hand over and accountability.
- Validate Credit patients, Bill all credit patients in HMIS, Generate Invoices and give patients to sign, give a copy of the invoice to the patient and safeguard all Invoices and Bank at the end of the shift by Generating the transaction listing, counterchecking that all invoices are available, noting the count of invoices on the transaction listing, wrapping daily invoices in the transaction listing and banking in the provided safe while document in the invoices collection register available on top of the safe.
- Educate clients on admission requirements during the admission process and as per policies.
- Print, Countercheck and sign the count of invoices/cash collection and bank with daily Transaction Listing summaries.
- Record all transactions in the cash/Invoices register provided.
- Sort and process daily invoices in readiness for dispatch to the claims desk as per Invoices Banking and Processing policy.
REQUIREMENTS
- Diploma In business management.
- CPA II (Section 4).
- Diploma in medical records management as an added advantage.
- 2 years’ experience in a similar role preferably in a hospital setup.
