Role Purpose
The Station Manager is responsible for the overall leadership, operational efficiency, and profitability of the petrol station, ensuring the safe and compliant delivery of petroleum products and associated services.
The role ensures strict adherence to HSSE standards, operational controls, stock integrity, financial accountability, and superior customer service while safeguarding company assets, protecting brand reputation, and maintaining regulatory compliance with relevant authorities including EPRA, KRA, and county regulatory bodies.
The position serves as the primary custodian of station operations, ensuring that daily activities run efficiently, safely, and profitably.
Key Responsibilities
1. Station Operations Management
Oversee the day-to-day operations of the petrol station, ensuring efficient delivery of fuel and related services.
Key Duties
- Manage forecourt operations including fuel dispensing, customer flow, and service coordination.
- Supervise all auxiliary services including car wash, lubrication bay, tyre services, and convenience retail where applicable.
- Ensure continuous availability of petroleum products including PMS, AGO (Diesel), IK, and Jet A-1 where applicable.
- Enforce operational Standard Operating Procedures (SOPs) across all station functions.
- Maintain high standards of station cleanliness, organization, and professional conduct.
- Ensure pumps, tanks, POS systems, and dispensing equipment are functioning optimally.
2. HSSE (Health, Safety, Security & Environment) Compliance
Ensure strict compliance with the HSSE Management System and petroleum safety standards.
Key Duties
- Enforce safe fuel handling procedures and spill prevention practices.
- Conduct daily safety briefings and toolbox talks with station staff.
- Ensure fire safety readiness including fire extinguishers, emergency shutoff systems, and evacuation procedures.
- Ensure full compliance with EPRA petroleum safety regulations and company HSSE policies.
- Maintain incident registers and ensure timely reporting and investigation of safety incidents.
- Coordinate emergency response procedures during accidents, fuel spills, or fire risks.
3. Fuel Stock Management & Loss Prevention
Maintain strict control over fuel inventory and station assets.
Key Duties
- Supervise fuel deliveries and ensure accurate dip measurements and tank reconciliations.
- Monitor daily stock levels, product movements, and reconciliations.
- Investigate and resolve stock discrepancies promptly.
- Implement strong controls to prevent fuel pilferage, leakages, or undocumented losses.
- Maintain accurate records of fuel receipts, tank levels, and pump readings.
- Safeguard station infrastructure including tanks, pumps, POS systems, and dispensing equipment.
4. Financial Management & Reporting
Ensure financial discipline, revenue accountability, and accurate reporting.
Key Duties
- Oversee daily sales reconciliation and cash management processes.
- Ensure strict adherence to cash handling procedures and banking schedules.
- Monitor station revenue performance and operational costs.
- Coordinate with finance teams on pricing updates, margin management, and profitability monitoring.
- Prepare and submit daily, weekly, and monthly station performance reports.
5. Staff Supervision & Performance Management
Provide effective leadership and supervision of station personnel.
Key Duties
- Manage staff scheduling and shift allocation to ensure optimal operational coverage.
- Enforce staff discipline, punctuality, and professional grooming standards.
- Conduct performance evaluations and provide coaching to improve productivity.
- Identify training needs and support staff development initiatives.
- Implement disciplinary actions where necessary in line with company HR policies.
6. Customer Experience & Brand Representation
Ensure consistent delivery of excellent customer service and brand standards.

- Promote a welcoming and professional customer service environment.
- Address customer complaints promptly and professionally.
- Ensure staff demonstrate courtesy, efficiency, and product knowledge.
- Uphold company brand values and service standards at the station level.
- Implement initiatives to enhance customer satisfaction and retention.
7. Security & Asset Protection
Safeguard company assets, infrastructure, and financial resources.
Key Duties
- Coordinate with security personnel to prevent theft, fraud, and vandalism.
- Monitor fuel deliveries and cash movements to ensure proper controls.
- Ensure compliance with security protocols during high-risk activities such as fuel deliveries and cash transfers.
- Report security incidents immediately and implement corrective measures.
Qualifications
Education
Bachelor’s Degree or Diploma in:
- Business Management
- Operations Management
- Engineering
- Petroleum Management
- Or a related field
Experience
- Minimum 5 years experience in fuel station operations or petroleum retail
- At least 2 years in a supervisory or management role
- Demonstrated experience in fuel inventory management and station financial controls
Professional Knowledge
- Understanding of EPRA petroleum regulations
- Knowledge of fuel stock reconciliation procedures
- Familiarity with HSSE safety systems in petroleum operations
