SENIOR STOREKEEPER/LOGISTICS COORDINATOR-UPL
Job summary
We are seeking a detail-oriented and operationally excellent Senior Storekeeper / Logistics Coordinator to manage our materials and finished goods inventory while coordinating product delivery across East Africa. This role combines hands-on warehouse management with strategic logistics coordination.

Key Responsibilities
1. Managing Materials and Finished Goods Inventory
Goods Receiving
- Work independently to receive incoming materials and finished goods, verifying quantities, quality, and documentation against purchase orders and delivery notes
- Solve routine problems related to discrepancies, damages, or delays in receiving
- Coordinate with procurement and quality control to resolve receiving issues
Storage & Location Management
- Coach junior storekeepers on proper storage techniques, bin location systems, and warehouse organization best practices
- Identify improvements to warehouse layout, storage efficiency, and material handling processes
- Implement and maintain location management systems to ensure rapid retrieval and accurate inventory positioning
Inventory Control
- Develop multi-skilling capabilities across adjacent areas including cycle counting, stock reconciliation, and inventory analysis
- Monitor stock levels, identify slow-moving or obsolete inventory, and recommend actions
- Maintain accurate inventory records and ensure data integrity in ERP systems
Materials Issuance
- Serve as Subject Matter Expert (SME) for complex material requisitions and urgent production needs
- Provide flexible coverage across shifts and departments during peak periods or staff shortages
- Ensure accurate and timely issuance of materials to production while maintaining proper documentation
2. Sourcing Materials at Optimal Cost and Quality
Local Sourcing
- Work independently to identify and engage local suppliers for standard materials and emergency procurement
- Solve routine problems related to local supply availability, pricing, and delivery scheduling
- Maintain relationships with local vendors and monitor market conditions
Import Procurement
- Coach junior team members on import documentation requirements, shipping terms (Incoterms), and customs clearance processes
- Identify improvements to import procurement workflows, lead time reduction, and cost optimization
- Coordinate with freight forwarders, customs agents, and international suppliers
Supplier Evaluation & Development
- Develop multi-skilling across supplier assessment, performance scorecarding, and vendor development initiatives
- Participate in supplier audits and contribute to continuous improvement programs
- Support procurement team in negotiating favorable terms and building strategic supplier relationships
Purchase Order Management
- Serve as SME for complex purchase order scenarios, expediting, and urgent procurement needs
- Provide flexible coverage for purchase order processing, amendment, and closure activities
- Ensure accurate PO tracking and proactive communication with suppliers on delivery status
3. Delivering Products to Customers Across East Africa
Transport Coordination
- Work independently to plan and coordinate transport for customer deliveries, optimizing routes and load consolidation
- Solve routine problems related to vehicle availability, driver scheduling, and delivery constraints
- Liaise with transport providers, fleet managers, and third-party logistics partners
Export Logistics
- Coach junior staff on export documentation (commercial invoices, packing lists, certificates of origin, EAC customs requirements)
- Identify improvements to export processes, transit time reduction, and cross-border compliance
- Manage relationships with clearing agents, shipping lines, and regional transport operators
Delivery Performance
- Develop multi-skilling across delivery tracking, performance metrics analysis, and customer service coordination
- Monitor on-time delivery performance and implement corrective actions for delays
- Coordinate with sales and customer service to manage delivery expectations and exceptions
Customer Communication
- Serve as SME for complex delivery inquiries, complaints, and special handling requirements
- Provide flexible coverage for customer communication during peak periods or escalations
- Ensure professional, proactive communication with customers regarding delivery status and issues
4. Understanding Kenyan/EAC Business Environment, Regulations, and Cultural Context
- Navigate the business environment effectively, understanding EAC customs regulations, trade protocols, and cross-border requirements
- Build local networks with transporters, clearing agents, warehouse providers, and regulatory officials
- Advise internal stakeholders on EAC context including duty structures, documentation requirements, and cultural considerations in business dealings
5. Using ERP, MIS and Digital Tools Effectively
- Serve as advanced user of ERP inventory modules, warehouse management systems, and logistics platforms
- Train others on system functionality, data entry standards, and reporting capabilities
- Identify system improvements to enhance inventory accuracy, operational efficiency, and user experience
- Generate reports on inventory levels, stock movements, delivery performance, and warehouse productivity for management review
6. Clear Communication Across Diverse Stakeholders in Multicultural Environment
- Present ideas effectively to management, proposing improvements to warehouse and logistics operations
- Facilitate meetings with internal teams (production, procurement, sales) and external partners (suppliers, transporters, customers)
- Manage conflicts constructively, resolving disputes with suppliers, transport providers, or internal colleagues professionally and diplomatically
