Job Title: Accounts & Operations Executive
Reports To: Finance Consultant Manager/Managing Director
Job Overview:
The Accounts and Operations Executive will provide basic bookkeeping and accounting support as well as oversee all administrative activities.
Duties and Responsibilities:
- Budgeting, petty cash management, and disbursements.
- Bank and cash book reconciliation. Reconcile all bank and cash book financial discrepancies. Prepare documents for management accounts and bank reconciliations
- Generate weekly reconciliation reports on petty cash, MPESA accounts, accounts payables, and accounts receivables
- Maintain proper financial records for auditing.
- Prepare requisitions for suppliers’ payments and office supplies. Make payments to all suppliers on due time.
- Prepare compliance documents. Prepare and File Statutory Returns; PAYE, NSSF, NHIF.Liaise with accounts for payroll, compliance & statutory requirements, and bookkeeping.
- Keep office inventory and supplies records.
- Coordinate, plan, and facilitate office logistics including weekly and monthly meetings.
- Update daily, weekly and monthly worksheets for staff.
- Compile staff weekly and monthly reports.
- Welcome and direct visitors, coordinate meetings and appointments, and perform clerical tasks, like answering phones and responding to emails.
- Deliver invoices & Delivery notes to clients for work done. Follow up with client payments.
- Manage staff welfare-leave, off, and sick days.
- Any other duties assigned to you by your supervisor from time to time.
Qualifications and Skills
- Degree in a Business Course
- Accounting education background preferably CPA 3
- At least 2 years of working experience in Bookkeeping and preparation of Tax/Statutory returns.
- 1-year experience working with SAGE/ Quickbooks accounting software
- Good interpersonal communication skills, and relationship building(Ability to work in a team environment).
- Leadership and Organizational skills
- Good command of the English language both written and spoken English; Effective use of written and spoken Kiswahili
- Ability to interact clearly and effectively with team members
- Demonstrated Attention to detail
- A person of integrity and diligence
- Technology Savviness
- Proficiency in MS Office, PDF, and Google business suite
