About the Opportunity

The Director of Finance and Operations (DFO) will report to the Country Director and network effectively with all programs in Kenya and the HQ leadership to ensure full coordination and delivery of intended results.  


This position contributes to TREES Kenya’s overall mission by leading and supporting seamless fiscal, operational, administrative, and human resource management systems, procedures, and processes. This role is open to applicants in Kenya and shall be based in Kisumu.


In this role, you will...

  • Lead the annual budget development process and monitor expenditures and variances, and proactively update income and expense projections.
  • Chart cash flow and ensure cash flow needs and projections adherence to financial policies.
  • Prepare monthly and ad hoc financial reports for the Country Director and the Programs Director.
  • Ensure proper maintenance of books of accounts and other financial records.
  • Manage the annual audit process and serve as the primary liaison with the audit firm.
  • Develop and implement Internal Financial Controls for the country office. 
  • Ensures all local, regional, and national taxes and reports are filed in a timely manner in accordance with country laws. 
  • Ensure compliance with applicable financial statutory obligations and circulars.
  • Negotiate, prepare, and monitor all vendor and consultant contracts.
  • Perform all balance sheet reconciliations (bank accounts, investments, prepaid, deposits, accruals, depreciation, etc.) and prepare month-end close.
  • Exercise final review for all TREES Kenya budgets and final review and approval for all grant budgets and fiscal reports.
  • Set up and manage people and systems to ensure adherence to restricted grant budgets, including periodic updates on budget variance and preparation of budget modification documents.
  • Oversee and reconcile travel budgets and ensure compliance with procedures and cost containment.
  • Develop and manage general ledger and fund accounting systems and procedures, coding payroll and other expenses to various programs through monthly cost allocations.
  • Oversee implementing and managing fiscal and payroll systems to ensure timely and accurate use and reporting.
  • Ensure all fiscal policies, procedures, and documentation requirements are adequate to protect the organization.
  • Oversee payroll, benefits administration, recruiting, onboarding, off-boarding, employee check-ins and exit interviews, and other human resource needs.
  • Assure compliance with applicable HR, employment, and personnel laws and regulations.
  • Ensure the HR Specialist is updating personnel and operations policies and procedures and ensure compliance.
  • Manage the training and orientation of staff on personnel policies and procedures.
  • Ensure the effective rollout and implementation of a policy and procedures to Prevent Sexual Harassment, Exploitation, and Abuse (PSHEA plan) in conjunction with the Sr. Director of HR. 
  • Ensure emergency and security policies and procedures are understood and followed, including cyber-security procedures; and
  • Oversee compliance with state and federal registration and reporting obligations, including state charity registrations.
  • Oversee tracking of all assets and report broken, stolen, and retired assets and develop an upgrade/replacement.
  • Any other responsibility may be assigned from time to time by your supervisor.
Requirements

You’ll be a great fit if you have...

  • Master's degree in Finance, Public Administration, Commerce, Economics, or equivalent degree from an accredited institution.
  • At least 15 years of professional experience, with at least ten (10) years of experience in nonprofit financial and operations management; five (5) years of experience should be in a management role.
  • CPA(K) professional qualifications and membership in a reputable institution are required.
  • Working knowledge of a cloud-based accounting system such as QuickBooks, Intacct, or a similar system.
  • A minimum of five (5) years experience in developing policies, procedures, and systems, as well as a leadership course lasting no less than six (6) weeks or its equivalent from an accredited institution.

Terms of Employment

The term of employment in this position is one (1) year renewable (with a probationary period of three (3) months) subject to the availability of funds.
