Job Description/Requirements
Financial Management
- Processing and reporting of Financial and other related management reports on a weekly, monthly, quarterly, and annual basis.
- Production and management of company budgets
- Reconciling the company’s bank statements and bookkeeping ledgers
- Managing income and expenditure accounts
- Inventory management and forecasting
- Generating the company’s financial reports using income and expenditure data
- Keeping a check on the company’s finances based on financial status
- Filing and remitting taxes and other financial obligations
- Initiating and managing financial and accounting software used by the company
- Petty Cash Management
- Preparation and payment of sales commissions.
- Creditors and Debtor management
Administration
- Anticipate the office needs and proactively handle administrative tasks, such as expense reporting, invoice processing, and file management
- Liaise with internal departments, external partners, and clients on behalf of the office. maintaining positive relationships and ensuring timely follow-up on action items
- Make travel arrangements, such as booking flights, taxis, and making hotel reservations.
- Reconcile hotel, air tickets & taxi expense reports and requesting for payments.
- Support event planning, including sourcing and booking venues and confirming attendance.
- Assist in tracking Nairobi office import logistics.
- Assist in all administrative procurement.
- Ensure proper filing systems are maintained.
- Managing office supplies and ordering new supplies as needed.
- Conduct research and gather information on various topics as required, providing insights and recommendations to support decision-making
- Ensure functionality of necessary office equipment, repair or replace damaged office equipment.
- Act as the primary point of contact for the Nairobi Office , managing incoming communications, scheduling meetings, and coordinating appointments.
- Prepare, collate and edit correspondence, presentations, and reports , maintaining confidentiality and professionalism at all times
- Handle confidential and sensitive information with discretion and professionalism, maintaining the highest standards of confidentiality and integrity.
- General office management duties to support the Nairobi team and wider organisation, ensure all office operations bills/invoices are paid on time
- Any other task assigned by management
Key Skills and Qualifications
- Bachelor’s degree or Diploma in Accounting, Finance, Business Administration, or a related field
- Relevant professional certifications e.g., CPA will be an added advantage
- Minimum of 2 years of experience in a finance or accounting role. Audit Experience is an added advantage
- Experience in operations management is a plus
- Proven track record of managing financial processes and reporting
