Job Summary
The Finance and Administration Executive will support the Sales and Operations Manager by overseeing financial operations, inventory, and administrative tasks, enabling the Sales and Operations Manager to concentrate on driving sales. The role requires effective cash flow management, accurate financial reporting, and efficient administrative processes to ensure smooth business operations.

Job Description/Requirements
Minimum Qualifications:
• Bachelor’s Degree in Accounting, Finance, Business Administration, or a related field
• CPA or its equivalent
• At least 5 years of relevant experience in finance and administration
Key Responsibilities
Accounting and Finance:
• Prepare and report financial and management accounts on a weekly, monthly, quarterly, and annual basis
• Perform daily bank reconciliations
• Manage income and expenditure accounts, ensuring financial accuracy
• Oversee inventory accounting and forecast requirements
• Monitor the company’s financial health and ensure compliance with budget allocations
• File and remit statutory taxes such as VAT, VAT Withholding, PAYE, NSSF, NHIF, and others in a timely manner
• Prepare and process monthly payroll accurately and in compliance with statutory requirements
• Calculate and disburse sales commissions
• Handle creditors and debtors, ensuring timely reconciliations and payments
• Review payment requests for accuracy and completeness, verify supporting documentation and appropriate budget codes
• Prepare payment vouchers and oversee disbursement processes
• Initiate online bank transfers, write and disburse cheques, and handle routine banking tasks
• Maintain and organize financial records and supporting documents
• Post transactions in the accounting system and ensure timely data entry
• Prepare for and coordinate external audits
Administration:
• Process and manage invoices efficiently
• Ensure accurate order processing and timely delivery to clients
• Monitor and manage payment of utility bills
• Oversee the use and maintenance of organizational assets
• Liaise with internal departments, clients, and external partners to ensure smooth communication and timely action
• Track and coordinate import logistics
• Manage procurement of office and operational supplies
• Maintain organized and accessible filing systems
• Monitor office supplies and replenish as necessary
• Ensure all office equipment is functional and arrange for timely repair or replacement when needed
• Perform any other duties as assigned by management
