Job Description/Requirements

Reports To:    Directors
Department:    Human Resource   
Location:  Nairobi    

Job Purpose:   
The position will be responsible for organizing, coordinating and supervising human resource operations and procedures in an effective and efficient manner geared towards the realization of the company’s objectives. The position is integral to the day to day functioning of the business.

Key Responsibilities   

Human Resource Management  % of Time 30
•    Handling all disciplinary cases and implementing the management decisions e.g. preparing disciplinary letters
•    Ensuring proper Human Resource planning system
•    Handling employee relations
•    Planning and scheduling of training and development programs
•    Developing/reviewing the various HR policies
•    Ensuring a smooth grievance handling procedure
•    Preparing of reports including technical reports and status reports pertaining to human resource management programs/projects and activities
•    Communicating employee policies to employees
•    Ensuring that the company is up to date with labour laws   

Performance management  % of Time 20

•    Overseeing the setting of performance agreements
•    Facilitating and performance management related trainings
•    Overseeing the performance review process
•    Monitoring the probation periods and facilitating evaluations at the end of the probation period   

Recruitment and selection % of Time 10
•    Analyzing all recruitment requisition forms and ensuring they are approved accordingly
•    Drafting job specifications for vacant positions
•    Facilitating advertisement of vacant positions
•    Shortlisting and interviewing where necessary
•    Issuing offer letters to successful candidates   

Filing   % of Time 10
•    Ensuring an effective and up to date filing system
•    Opening files as soon as new employees report
•    Ensuring that all performance management forms are filed accordingly
•    Ensuring security of the filing cabinet   

HR administrative duties  % of Time 25
•    Overseeing orientation of new staff
•    Preparing and issuing employment contracts
•    Developing job descriptions for new positions and reviewing the existing ones upon request
•    Drafting various HR related correspondences
•    Maintaining an up to date leave management system
•    Storing all the human resource policies and procedures   

Reporting  % of Time 5
•    Developing HR related reports e.g. compliance reports, leave summary among other necessary reports   
•    Performing any other duties assigned

•    All staff

Knowledge and Experience required for this Role
•    Degree or Higher Diploma in Human Resource Management
•    Certified member of IHRM
•    At least 2 years working experience in a busy organization

•    People management skills
•    Written and oral communication skills
