Job Summary

Location:Machakos, Kenya Reporting To:HR 360 To support the HR function by administering HR processes, ensuring compliance with labour laws, managing recruitment and onboarding, maintaining accurate personnel records, facilitating performance management, and supporting employee relations and welfare.

Job Description/Requirements

Key Duties & Responsibilities

  1. Recruitment & Staffing

    • Support end-to-end recruitment: draft and post job ads, shortlist candidates, schedule interviews. Jobs in Kenya - https://jobwebkenya.com/+2MyJobMag+2

    • Prepare employment contracts, appointment letters, and other documentation. MyJobMag+2atidi.africa+2

    • Conduct induction / onboarding for new hires and ensure they are oriented into the company policies and culture. atidi.africa+2MyJobMag+2

  2. HR Policy & Compliance

    • Assist in the development, review, and implementation of HR policies and procedures. atidi.africa+1

    • Maintain confidentiality of employee data and ensure secure filing systems (both physical and electronic). Doctors Without Borders

  3. HR Administration & Records Management

    • Maintain personnel files with up-to-date information (e.g., contracts, performance appraisals, disciplinary records). atidi.africa

    • Update and manage HRIS (Human Resources Information System) / HR database. hahu.jobs+1

    • Manage leave records, attendance tracking, and other time-off processes. MyJobMag

  4. Performance Management

    • Assist in performance appraisal processes: set objectives, track evaluations, and document feedback. Doctors Without Borders

    • Support performance improvement plans and counsel employees where needed.

  5. Employee Relations & Welfare

    • Act as a point of contact for employees’ queries, grievances, and disciplinary matters. MyJobMag

  6. Payroll & Benefits Support

    • Collaborate with Finance to ensure accurate payroll inputs (attendance, leaves, deductions). MyJobMag

  7. Training & Development

  8. Reporting & Analytics

    • Analyze HR metrics and propose improvements to HR processes.

  9. Offboarding

    • Manage exit procedures: exit interviews, clearance, handover, and final settlement. Doctors Without Borders

      Qualifications & Experience
    • Bachelor’s degree in Human Resource Management, Business Administration, or a related field. MyJobMag+1

    • Strong communication, interpersonal, and problem-solving skills.

    • High level of integrity, confidentiality, and professionalism.

  10. Excellent organizational skills and attention to detail.

  11. Ability to handle multiple tasks and prioritize effectively.

  12. Good negotiation and conflict-resolution skills.

  13. Proficiency in Microsoft Office (Word, Excel) and HR software.

  14. Ability to work independently and in a team.

Working Conditions

  • Office-based role in Machakos.

  • Standard working hours, with occasional need to work extra hours (e.g., during recruitment drives or performance appraisal cycles).

  • May involve coordination with multiple departments (Finance, Admin, Operations).
