The Procurement Officer is responsible for the efficient procurement functions for Afribright’s office. The position holder will procure Organization’s supplies, services and equipment, whilst ensuring good practices and maintaining audit-compliant records. You will ensure that all purchases of goods and services are done transparently, at the best available price, and in compliance with AFRIBRIGHT procurement policy and procedures.


 


Key Tasks and Responsibilities:


  • Preparing and implementing procurement plans following related Afribright’s procurement Standard Operating Procedures (SOPs)
  • Support the development of procurement specifications
  • Initiate and process Request for quotations (RFQ) and Request for proposals (RFP).
  • Conduct negotiations with suppliers that are transparent and documented.
  • Review procurement documents for accuracy before taking payment for approval.
  • Collaborating with all departments by Coordination with finance, and program to ensure smooth and timely procurement
  • Maintaining supplier’s files and documentation
  • Monitoring and documenting supplier performance
  • Maintain supplier performance scorecards.
  • Identifying and reporting procurement red flags across the procurement value chain
  • Preparing and submitting accurate monthly reports to the Director on time.
  • Supporting with developing and updating the procurement plans (assigned) as required.
  • Receiving and inspecting incoming goods
  • Conducting physical inventory checks
  • Maintaining accurate inventory records
  • Monitoring stock levels and re-ordering when necessary.


Qualifications and Competencies



  • A diploma in Business, Supply Chain Management, Accounting or a related field.
  • Proven experience in the field is advantageous.
  • Experience with procurement software and tools is advantageous.
  • Analytical and problem-solving abilities.
  • Good communication and negotiation skills.
  • Ability to work independently with minimal supervision, as well as collaborate effectively within a team environment.
  • Excellent communication and interpersonal skills, with the ability to interact professionally with customers and colleagues.
  • Prior experience in a water treatment equipment and pumps will be an added advantage
  • Valid driver's license and clean driving record will be an added advantage.
