eCommerce Operations & Vendor Coordinator
Job summary
We're looking for someone to own our inventory and vendor operations: keep stock levels healthy, suppliers accountable, and fulfilment running smoothly. You'll work directly with management and have genuine ownership over a critical part of the business. This is not a general VA role. If you're looking for a task list to execute, this isn't it.

WHAT YOU'LL OWN
Stock & Inventory
- Monitor stock levels across SKUs, identify replenishment needs before they become problems
- Pull and interpret data from BI tools and fulfilment back office systems
- Track days of cover, flag risk SKUs, and initiate reorders with the right lead time
Vendor & Supplier Management
- Manage purchase orders from placement through to delivery confirmation
- Chase suppliers proactively on timelines — not reactively when things are late
- Maintain accurate supplier records and help evaluate or onboard new vendors when needed
Reporting & Admin
- Prepare clear, actionable stock and operations reports for management
- Maintain SOPs, order records, and documentation to a standard others can actually use
- Support business administration tasks as a secondary responsibility
WHAT WE'RE LOOKING FOR
You don't need an eCommerce background specifically — but you do need to have worked in a role where data accuracy mattered, deadlines were real, and you were the person making sure things didn't fall through the cracks.
Hard requirements:
- Comfortable working in spreadsheets — not just reading them, but building and interrogating them
- Experience handling orders, inventory, stock levels, or logistics in some capacity
- Confident communicating with external partners (suppliers, vendors, fulfilment centres)
- Strong written English — clear, professional, and concise
- Self-directed: you ask the right questions upfront, then get on with it
Strong plus:
Experience with eCommerce platforms or fulfilment systems Familiarity with BI or reporting tools Background in purchasing, supply chain, or operations
THIS ROLE IS NOT FOR YOU IF
