Our client is one of the leading motorcycle dealers in Kenya, seeking to hire a Service Administrator. The Service Administrator is responsible for coordinating, scheduling, and supporting all service-related activities within the organization. This role ensures that service operations run smoothly by handling customer requests, managing service documentation, updating systems, and supporting service technicians and management.
Key Responsibilities
- Schedule and dispatch service technicians for onsite or remote support.
- Track service jobs from initiation to completion.
- Communicate with customers regarding job updates, delays, and required documentation.
- Prepare service invoices, quotations, and job cards.
- Maintain accurate records of service reports and warranty claims.
- Capture service traffic data.
- Respond to customer inquiries by phone, email.
- Follow up on pending service work and customer feedback.
- Escalate customer issues to management when necessary
- Assist with inventory management for spare parts and special tools.
- Coordinate service contracts, renewals, and annual maintenance agreements.
- Support technicians with logistics, documentation, and parts availability.
- Prepare weekly/monthly service performance reports.
- Track KPIs such as response times, job completion, and customer satisfaction. Maintain compliance with internal processes and industry standards.
Qualifications & Requirements
- A diploma in Automotive/ Mechanical engineering
- Matric or equivalent; diploma in Office Administration or related field is advantageous.
- Minimum of 2–3 years experience in a service administration or operations support role.
- Strong computer skills (MS Office, CRM/ERP systems).
- Excellent communication and customer service skills.
- Ability to multitask, prioritize, and work under pressure.
- Attention to detail and strong organizational skills.
- Working Conditions
- Can work in any outside Nairobi if need be.
- May require occasional overtime depending on service demands.
