Admin Secretary / Personal AssistantJob Summary: The ideal candidate will demonstrate strong communication skills, exceptional attention to detail, and the ability to manage multiple priorities in a fast-paced hospitality environment. This role requires professionalism, discretion, and a strong commitment to operational excellence.
Key Accountabilities


  • Executive Scheduling & Calendar Management

    • Manage the Managing Director’s calendar, including scheduling appointments, coordinating internal and external meetings, and arranging local and international travel.
    • Ensure timely reminders, daily briefs, and efficient time management support.

  • Executive Communication & Correspondence

    • Handle phone calls, emails, and official communication on behalf of the Managing Director.
    • Act as a primary liaison between the MD, staff, clients, partners, and other stakeholders.

  • Document & Report Preparation

    • Draft, review, and format letters, reports, presentations, and other executive documents.
    • Prepare meeting minutes, follow-up action points, and ensure timely execution.

  • Records & Information Management

    • Maintain an organized filing system for both physical and digital records.
    • Ensure confidentiality and secure management of sensitive documents.

  • Office Coordination & Operations Support

    • Oversee general office supplies, inventory, and coordination of office equipment to ensure smooth daily operations.
    • Support administrative logistics for hospitality-related activities when required.

  • Front Office & Guest Support

    • Receive and attend to high-level visitors, partners, and clients on behalf of the Managing Director.
    • Provide professional customer service and ensure a positive first impression.

  • Project & Event Coordination

    • Assist the Managing Director with coordination of hotel projects, operational initiatives, events, and special assignments.
    • Ensure timely follow-up on project timelines and deliverables.


Key Requirements


  • Bachelor’s degree in Business Administration, Office Management, Hospitality Management, or a related field.
  • 1–2 years of experience in administrative support, executive assistance, or PA roles—hospitality experience is an added advantage.
  • Proficiency in MS Office Suite (Word, Excel, PowerPoint) and Google Workspace.
