Admin Secretary / Personal AssistantJob Summary: The ideal candidate will demonstrate strong communication skills, exceptional attention to detail, and the ability to manage multiple priorities in a fast-paced hospitality environment. This role requires professionalism, discretion, and a strong commitment to operational excellence.
Key Accountabilities
- Executive Scheduling & Calendar Management
- Manage the Managing Director’s calendar, including scheduling appointments, coordinating internal and external meetings, and arranging local and international travel.
- Ensure timely reminders, daily briefs, and efficient time management support.
- Executive Communication & Correspondence
- Handle phone calls, emails, and official communication on behalf of the Managing Director.
- Act as a primary liaison between the MD, staff, clients, partners, and other stakeholders.
- Document & Report Preparation
- Draft, review, and format letters, reports, presentations, and other executive documents.
- Prepare meeting minutes, follow-up action points, and ensure timely execution.
- Records & Information Management
- Maintain an organized filing system for both physical and digital records.
- Ensure confidentiality and secure management of sensitive documents.
- Office Coordination & Operations Support
- Oversee general office supplies, inventory, and coordination of office equipment to ensure smooth daily operations.
- Support administrative logistics for hospitality-related activities when required.
- Front Office & Guest Support
- Receive and attend to high-level visitors, partners, and clients on behalf of the Managing Director.
- Provide professional customer service and ensure a positive first impression.
- Project & Event Coordination
- Assist the Managing Director with coordination of hotel projects, operational initiatives, events, and special assignments.
- Ensure timely follow-up on project timelines and deliverables.
Key Requirements
- Bachelor’s degree in Business Administration, Office Management, Hospitality Management, or a related field.
- 1–2 years of experience in administrative support, executive assistance, or PA roles—hospitality experience is an added advantage.
- Proficiency in MS Office Suite (Word, Excel, PowerPoint) and Google Workspace.
