Job summary
We are seeking a proactive and detail-oriented Office Administration Assistant to support daily office operations, financial coordination, and HR administrative functions. The role involves managing petty cash, maintaining records, supporting statutory compliance, and coordinating employee welfare activities in line with local tax regulations
Job descriptions & requirements
Office Administration & Records Management
- Maintain well-organized physical and electronic filing systems for company records, contracts, invoices, and correspondence.
- Track office expenses and ensure proper documentation for audit and reporting purposes.
- Manage general office administration tasks and provide administrative support across departments.
Petty Cash & Finance Coordination
- Manage petty cash operations including disbursements, reconciliations, and monthly reporting.
- Prepare and submit expense documentation to the finance team for review and posting.
- Coordinate closely with the finance department on administrative costs, supplier payments, and expense control.
HR Administration & Employee Welfare
- Maintain up-to-date employee records in compliance with Kenyan labour regulations.
- Support HR administrative tasks including onboarding documentation, leave tracking, and staff files.
- Coordinate employee welfare initiatives, staff engagement activities, and internal office events.
- Assist with preparation of HR-related reports as required.
Statutory & Monthly Compliance Tasks
- Support the submission of monthly statutory obligations including PAYE (KRA), NSSF, NHIF, Housing Levy, etc
- Assist in compiling supporting schedules and documentation for statutory filings.
- Ensure compliance deadlines are met and records are properly maintained for audits.
