Business Development Assistant
Job summary
End-to-end processing of business opportunities, including responding to RFQs, Tenders, and Prequalifications. They will manage the full client lifecycle—from initial quotation to invoicing and delivery coordination—ensuring that all commercial engagements are professional, timely, and profitable.
Job descriptions & requirements
Bid Management: Professionally compile, package, and submit Tenders, Prequalifications, and RFQs. Ensure all mandatory documents are valid and included. ● Opportunity Scouting: Daily monitoring of newspapers (e.g., Daily Nation, Standard), online portals (IFMIS, PPIP, G-Sourcing), and client websites for new business leads. ● Client Portfolio Management: Act as the primary liaison for existing clients, managing their accounts and ensuring a high rate of repeat business. ● Sales Documentation: Prepare accurate Quotations, Proforma Invoices, and follow up on Local Purchase Orders (LPOs) from clients. ● Financial Tracking: Work closely with the Accountant to generate Invoices and follow up on outstanding payments/debt collection. ● Logistics Coordination: Coordinate the delivery of goods/services to clients, ensuring Delivery Notes (DN) are signed and filed for payment processing. ● Reporting: Maintain a "Sales Pipeline" report showing active bids, won projects, and lost opportunities with reasons for the outcome. ● CRM Maintenance: Develop and maintain a digital database of all client contacts, previous bid prices, and contract expiry dates.
