1. Sales & Lead Follow-Up
- Receive and respond to catering inquiries via phone, WhatsApp, social media, and walk-ins
- Follow up all potential clients and warm leads
- Collect event details such as event type, date, location, guest numbers, and menu/service needs
- Record and update all client inquiries in the company system
- Ensure timely follow-up of all leads until they are closed or lost
### 2. Quotations & Booking Support
- Prepare and send quotations to clients
- Follow up quotations to improve conversion
- Assist clients with revisions and clarifications where necessary
- Confirm bookings and ensure all key event details are captured properly
### 3. Client Relations & Payment Follow-Up
- Maintain professional communication with clients from inquiry stage to event day
- Follow up deposits and outstanding balances
- Coordinate with the accountant to confirm payment status
- Ensure clients are updated on payment deadlines and booking requirements
### 4. Marketing & Business Development
- Support marketing of outside catering services through WhatsApp, social media, referrals, and direct outreach
- Help identify and approach potential clients such as corporates, schools, churches, institutions, and event clients
- Collect and organize event photos/videos for marketing purposes
- Support business growth and awareness of the catering department
### 5. Reporting & CRM / Odoo Updates
- Capture and update leads, quotations, bookings, and follow-up notes in the company system
- Submit simple weekly reports on inquiries, quotations sent, bookings confirmed, payments followed up, and marketing activities done
Requirements
Minimum Requirements
- Diploma or Certificate in Sales, Marketing, Hospitality, Business, Customer Service, or a related field
- At least 1–2 years experience in sales, customer service, hospitality, events, or client handling
- Strong communication and interpersonal skills
- Good follow-up and customer handling ability
- Comfortable using:
- WhatsApp Business
- Excel / Google Sheets
- Social media platforms
- Must be organized, presentable, and confident when dealing with clients
