Private Event Sales Associate
Job summary
We are seeking an energetic, ambitious, and highly motivated Private Event Sales Associate to drive new business and help establish HQ Kenya House as the premier destination for private events. This is a performance-driven sales role for someone who enjoys prospecting, networking, building relationships, and closing business.

The successful candidate will be responsible for managing the complete sales cycle—from lead generation and inquiry management to contract execution and client handoff.
Key Responsibilities
Lead Generation & Business Development
- Generate new private event bookings through cold outreach, networking, referrals, social media, and relationship building.
- Prospect new corporate clients, embassies, nonprofits, luxury brands, wedding planners, event planners, executive assistants, and professional associations.
- Schedule and conduct in-person sales meetings with prospective clients.
- Attend networking events, business functions, trade shows, and community events to generate qualified leads.
- Build and maintain relationships that generate repeat business and referrals.
- Maintain a minimum pipeline of qualified opportunities at all times.
Weekly Expectations
- Minimum 25 new outbound prospecting calls
- Minimum 20 personalized outreach emails
- Minimum 10 in-person client meetings or networking meetings
- Minimum 5 venue tours
- Minimum 5 new qualified leads added to CRM each week
Event Sales & Client Experience
- Respond to all inquiries within one business hour during business hours and no later than the next business morning for after-hours inquiries.
- Contact every qualified lead by phone within 24 hours of receiving an inquiry.
- Schedule venue tours within 72 hours whenever possible.
- Prepare and deliver customized proposals within 48 hours of completing a venue tour or client consultation.
- Follow up on all outstanding proposals within 48 hours of delivery.
- Continue follow-up until a booking decision is made.
- Negotiate contracts and successfully close new business.
- Consistently exceed monthly booking and revenue goals.
Client Relationship Management
- Serve as the primary point of contact throughout the sales process.
- Deliver a white-glove client experience from the first inquiry through signed contract.
- Build trust through proactive communication and responsiveness.
- Maintain detailed notes on every client interaction within the CRM.
- Conduct a seamless transition to the operations team following contract execution while remaining available for sales-related client needs.
Administrative Responsibilities
- Maintain an accurate CRM with all leads, proposals, contracts, and follow-up activities.
- Track proposal conversion rates and booking performance.
- Prepare weekly sales pipeline reports.
- Forecast monthly revenue.
- Maintain organized electronic client files.
- Ensure all contracts are executed before event confirmation.
Performance Standards
The successful candidate will consistently achieve the following service standards:
- Respond to all inquiries within 1 business hour
- 100% of proposals delivered within 48 hours
- 100% of client calls and emails returned the same business day
- Maintain accurate CRM records for every client interaction
- Maintain a professional appearance and represent the HQ Kenya House brand with excellence at all times
Qualifications
- 2–5 years of experience in hospitality sales, catering sales, hotel sales, luxury retail, event sales, or business development.
- Proven track record of exceeding sales goals.
- Excellent verbal and written communication skills.
- Strong presentation and negotiation abilities.
- Exceptional customer service mindset.
- Highly organized with outstanding attention to detail.
- Ability to manage multiple clients simultaneously.
- Comfortable working evenings and weekends when client meetings or venue tours require.
- Existing relationships within Nairobi’s corporate, hospitality, or events community are highly desirable.
Compensation
This is a performance-driven sales position designed for professionals who are motivated by unlimited earning potential.
