Location: Mombasa Road, Nairobi
Department: Sales & Marketing
Reports To: Customer Service Manager
Salary: KES 100,000 – 120,000 Gross

Qualifications
  • Bachelor's Degree in Business, Marketing, Chemistry, or a related field.

Experience
  • Minimum 3–5 years' experience in Sales Administration, Sales Coordination, or Customer Service.
  • Experience using ERP systems and sales software is an added advantage.

Required Skills & Competencies
  • Strong communication and interpersonal skills.
  • Excellent organizational and coordination abilities.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook).
  • Knowledge of ERP systems and CRM software.
  • Strong customer service and relationship management skills.
  • Ability to multitask, prioritize, and work under pressure.
  • Good analytical and problem-solving skills.
  • High attention to detail and accuracy.

Key Responsibilities
  • Receive and respond to customer inquiries via phone, email, and WhatsApp professionally.
  • Process customer orders accurately and promptly in the ERP system.
  • Prepare quotations, delivery schedules, and obtain necessary approvals.
  • Coordinate with stores, dispatch, and finance teams to ensure timely order fulfillment.
  • Maintain accurate sales records, customer databases, and CRM information.
  • Follow up on customer orders, pending payments, deliveries, and resolve discrepancies.
  • Handle customer complaints, resolve issues, and escalate complex cases where necessary.
  • Prepare daily, weekly, and monthly sales performance reports.
  • Support the sales team with documentation, tender submissions, and marketing materials.
  • Monitor stock availability and communicate stock levels to relevant departments.
  • Reconcile customer account statements with the finance team.
  • Maintain organized digital and physical sales records.
  • Conduct customer satisfaction follow-ups and recommend service improvements.
  • Assist in organizing customer visits, product demonstrations, exhibitions, and marketing events.
