Job Summary

The Events Coordinator is responsible for executing activities defined in the annual marketing calendar, including brand activations, product promotions, trade fairs, and all campaigns. The role ensures timely, budget-compliant, and brand-consistent events to drive awareness, product trial, and trade support for (HORECA, Vending, General & Modern Trade Channels). The Events Coordinator will also support essential but unplanned marketing activities, providing operational agility and commercial responsiveness.

DUTIES AND RESPONSIBILITIES

Marketing Calendar Execution

  • Implement events and activations aligned with the annual marketing plan.
  • Collaborate with sales and marketing teams to ensure synchronization with commercial objectives.
  • Monitor the marketing calendar and ensure timely rollout of planned activities.
  • Train and manage Brand Ambassadors (BAs) in all activities and ensure they have submitted daily and weekly reports before payments.  


Event & Activation Logistics

  • Coordinate logistics for brand activations, exhibitions, community engagements, and samplings.
  • Manage branding material, permits, and supplier coordination.
  • Supervise setup and breakdown of event sites and ensure compliance with branding guidelines.


Budget & Resource Management

  • Execute approved activities within the designated budget.
  • Ensure vendor selection and procurement follow company value-for-money principles.
  • Submit budget reconciliations and financial reports post-activity.


Field Execution and Quality Control

  • Conduct site visits and supervise field teams during activations.
  • Ensure consistency in brand messaging and consumer experience.
  • Monitor the use and condition of branded assets.


Reporting &Post-Event Analysis

  • Deliver post-activity reports including KPIs (e.g., reach, leads, sampling rate) daily, weekly and Monthly.
  • Maintain photographic and narrative records of activations.
  • Capture insights from clients, events participants and recommend improvements for future events.


KEY REQUIREMENT SKILLS AND QUALIFICATION

  • Degree in marketing, communication or related
  • 2-3 years experience in brand promotion within the FMCG sector
  • Previous experience in a marketing or manufacturing company is an added advantage
  • Excellent organizational and communication skills
  • Ability to work under pressure and manage multiple events simultaneously.
