HR & Administration Manager (Manufacturing) - Mombasa
Job summary
We are seeking a compliance-focused HR professional to manage payroll, statutory compliance, recruitment and employee relations in a manufacturing environment. Manufacturing experience and Mombasa-based candidates strongly preferred.

Key Responsibilities
1. Recruitment & Workforce Onboarding
Coordinate end-to-end recruitment processes including job posting, screening, interviews, selection and onboarding.
Maintain accurate job descriptions, staffing records and employee files.
Facilitate structured induction programs and probation confirmation tracking.
2. Payroll & Statutory Compliance (Core Responsibility)
Prepare accurate payroll inputs including attendance, overtime, leave records and deductions.
Ensure full compliance with statutory requirements including PAYE, NSSF, SHIF/NHIF, Housing Levy and other government remittances.
Maintain statutory compliance trackers and ensure timely submissions.
Support payroll reconciliation and prepare payroll-related reports.
3. Employee Relations & Disciplinary Management
Handle employee grievances, disciplinary processes and workplace investigations.
Ensure all disciplinary procedures are properly documented and compliant with Kenyan labour laws.
Provide guidance to management on labour relations, disciplinary procedures and risk mitigation.
4. HRIS & Records Management
Maintain accurate HRIS records and employee documentation.
Ensure proper filing and tracking of employment contracts, confirmations, warnings, and exit documentation.
Prepare regular HR reports including headcount, turnover, disciplinary cases and statutory compliance status.
5. Performance & Policy Implementation
Support performance management processes and KPI tracking.
Assist in implementation and monitoring of HR policies, procedures and internal HR controls.
Promote a structured, compliant and professional workplace culture.
6. Workforce Compliance & Industrial Environment Oversight
Ensure adherence to the Employment Act and applicable labour regulations.
Support coordination of Occupational Health & Safety (OHS) compliance.
Monitor workforce attendance, shift management and labour discipline within a manufacturing environment.
Minimum Requirements (Non-Negotiable)
- Bachelor’s Degree in Human Resource Management, Business Administration, or a related field.
- Minimum 3 years’ progressive HR experience in a manufacturing, industrial or labour-intensive environment.
- Valid IHRM membership required; CHRP-K certification highly preferred.
- Proven hands-on experience in payroll processing and statutory compliance.
- Strong knowledge of Kenyan labour laws and disciplinary procedures.
- Experience using HRIS systems and structured HR documentation processes.
- Ability to independently manage HR operations with minimal supervision.
- Candidates based in Mombasa or familiar with the coastal region are strongly preferred.
