Job Summary
The Human Resource Assistant will provide administrative and operational support to the Human Resources Department to ensure efficient delivery of HR services across UW–Kenya’s research programs. The role involves support of the daily operations of the Human Resources department by performing administrative tasks, coordinating HR processes, and providing frontline support to employees and management. It also ensures the smooth running of HR functions including recruitment, onboarding, records management, benefits administration, and employee relations. This position reports to the Human Resources Manager.
Key Responsibilities and Tasks
- Timely filing of documents and data entry into the HR information system (HRIS) and ensure that information in HRIS is up to date.
- Maintain and update employee personnel files (digital and physical) and ensure secure filing of employee records.
- Assist in compiling HR statistics and reports for management and donors as required.
- Support the preparation of employment contracts, renewal letters, and other HR correspondence for review by the HR Manager and ensure staff contracts are up to date.
- Track staff contract start and end dates, prepare renewal alerts, and support the timely preparation of contract extension documentation.
- Track employee performance appraisal timelines and follow up on submissions.
- Support payroll preparation by providing accurate employee data and coordinate timely submission of payroll changes and statutory deductions
- Coordinate collection and verification of staff timesheets from all projects to ensure timely payroll processing.
- Track and update leave records in the HRIS and coordinate with the HR Manager for eave planning and scheduling.
- Prepare and verify staff data for payroll processing in collaboration with Finance.
- Support administration of employee benefits such as medical insurance, group life, and pension schemes.
- Assist in maintaining compliance with labor laws and internal policies.
- Maintain good working relationships with all stakeholders.
- Perform any other tasks assigned by the supervisor.
Desired Qualifications, Skills and Experiences:
- Bachelor’s degree in Human Resource Management, Business Administration, or a related field.
- At least 1–2 years of relevant experience in a busy HR environment
- Registration or eligibility for registration with the Institute of Human Resource Management (IHRM).
- Working knowledge of HR information systems and Microsoft Office applications.
- Familiarity with donor-funded project operations is an added advantage.
