Job Summary

We are seeking a highly organized, proactive, and detail-oriented Receptionist / Odoo ERP Administrator / Social Media Assistant to support front office operations, system administration, and digital engagement activities. The successful candidate will serve as the first point of contact for visitors and clients while also supporting internal administrative processes through Odoo ERP management and assisting in the execution of social media marketing activities to enhance the organization’s visibility and engagement. The ideal candidate should possess strong communication skills, excellent customer service, organizational abilities, and a good understanding of administrative systems, ERP platforms, and social media tools. Responsibilities

Front Office & Reception Duties

• Welcome, receive, and direct visitors, clients, and guests professionally

• Handle incoming phone calls, emails, and office correspondence efficiently

• Manage front office operations and maintain a professional reception environment

• Schedule meetings, appointments, and coordinate calendars where required

• Maintain office filing systems, records, and administrative documentation

• Assist with preparation of reports, letters, and internal communications

• Handle customer inquiries and provide excellent customer service


Odoo ERP Administration

• Manage and maintain data entry and updates within the Odoo ERP system

• Support invoicing, sales records, customer data management, inventory updates, and administrative workflows through Odoo

• Generate reports and maintain accurate system records

• Coordinate with departments to ensure smooth ERP usage and operational efficiency

• Troubleshoot minor ERP issues and escalate technical concerns where necessary

• Ensure accuracy, confidentiality, and integrity of company records within the ERP system


Social Media Marketing Support

• Manage and update company social media pages and digital platforms

• Create and schedule social media posts to increase brand visibility and engagement

• Respond to customer inquiries and online messages professionally

• Assist in content creation, photography, posters, captions, and digital marketing campaigns

• Monitor engagement and provide reports on social media performance

• Support marketing activities aimed at promoting company products and services


Administrative & Operational Support

• Support general office administration and daily operational activities

• Maintain office supplies and coordinate basic procurement needs

• Assist in customer relationship management and database organization

• Ensure proper coordination of office communication and workflow


Qualifications & Education Requirements

• Diploma or Bachelor’s Degree in any of the following fields:

• Business Administration

• Office Administration and Management

• Information Technology • Marketing

• Communication or a related field

• Certification or training in Odoo ERP systems, Digital Marketing, Social Media Management, or Customer Service will be an added advantage.


Experience Requirements

• Minimum of 2 years of experience in reception, office administration, ERP administration, customer service, or social media management

• Hands-on experience using Odoo ERP or related ERP systems is highly preferred

• Experience managing social media pages for business or commercial purposes is an added advantage

• Experience in administrative coordination and customer handling


Required Skills & Competencies

• Excellent communication and interpersonal skills

• Strong customer service and front office management skills

• Good understanding of Odoo ERP systems or related software

• Knowledge of social media marketing tools and platforms (Facebook, Instagram, TikTok, LinkedIn, etc.)

• Good organizational and multitasking abilities

• Strong time management and ability to meet deadlines

• Computer proficiency in Microsoft Office and online tools

• Attention to detail and accuracy in data handling

• Ability to work independently and under pressure
