2. Job Summary
The Sales and reservation assistant is responsible for providing support to the sales & reservations manager to ensure guests satisfaction and meeting sales targets.

4. Main Duties and Responsibilities:
ResRequest Admin function:
Ø Ensure the system is always running, that data transfers are up to date.
Ø Ensure the rate types are uploaded correctly.
Ø Load the system with all the extras necessary for bookings – flights, transfers, balloon, excursions, day trips, Nairobi excursions etc.
Ø Ensure a clean CRM of both agents & individuals.
Ø Liaise with ResRequest support for any help needed.
Reports
Ø Camp reports -Produce & cross check detailed monthly overviews of all guests’ arrivals including monthly vouchers, weekly overviews and wild camping stats.
Ø Check booking vouchers for missing info and alert the res team before sending them to the camps.
Ø Transfers reports - ensure all details are captured on Res Request, counter check with online diary.
Ø Sales reports – forward bookings, direct bookings conversions, operator bed nights, source market, special offers uptake, CRM etc.
Ø Ensure all the sales materials are updated and available to the Sales & Reservations team, on Dropbox and Agents section on the website.
Itineraries
Ø Produce itineraries & packages for website.
Ø Create itineraries on WETU for direct guests’ inquiries and final itineraries before guests’ arrival.
Ø Plan local agents visits calendar.
Training & development
Ø Participate in regular training and development sessions to improve product knowledge and sales skills.
Ø Any other duty assigned by the Sales Manager.
5. Required Knowledge, Skills and Experience
Ø Bachelor’s degree or diploma in tourism, hospitality or a related field.
Ø Proven experience as a travel consultant or reservations agent, with a minimum of 2 years’ experience.
Ø Good knowledge of Kenya’s tourism industry, attractions, and destinations.
Ø Proficiency in ResRequest reservation booking system and other relevant software.
Ø Proficiency in WETU.
Ø Strong sales and negotiation skills, with a proven track record of meeting and exceeding sales targets.
Ø Strong customer service skills and ability to work with people from diverse backgrounds.
Ø Willingness to go above and beyond to ensure customer satisfaction.
Ø A passion for travel
Personal attributes:
Ø Excellent Communication skills both written & Verbal.
Ø Fluency in English & Swahili (other Languages are an added advantage).
Ø A hospitable and service-oriented attitude.
Ø Ability to work independently and as part of a team, in a fast-paced environment.
Ø Ability to work under pressure, meet deadlines, and handle multiple tasks simultaneously.
Ø Attention to detail, with strong organizational and time-management skills.
