Job summary
On behalf of our client, a leading Nairobi-based supplier specializing in medical equipment, public health chemicals, and emergency relief supplies, we are seeking to hire for the position of a Tender Administrator to be based in Nairobi. A Tender Administrator for medical equipment coordinates the entire bidding cycle by identifying government/private leads, compile and submit compliant bid documents, and maintain vendor databases. This role requires strict attention to deadlines and regulatory compliance for entities

Key Responsibilities
- Lead Identification: Monitor public procurement portals and platforms like Kenya Tenders, Tenders on time, Tender sure for relevant medical device Request for Proposals. (RFP)
- Documentation & Compliance: Compile mandatory tender documents (e.g, KRA certificates, tax compliance, audited accounts, and technical ISO/CE equipment specifications) to ensure 100% responsiveness to strict public procurement laws.
- Bid Compilation: Format technical data, pricing schedules, and delivery timelines into a professional bid document before the submission deadline.
- Record Management: Maintain accurate electronic and physical databases of submitted bids, tender addenda, and awarded contracts.
- Logistics: Track delivery timelines, installation, and commissioning of awarded medical equipment.
ESSENTIAL SKILLS
- Organization: Strong project management skills to juggle multiple bids with overlapping deadlines.
- Attention to Detail: Strict adherence to bid instructions (failure to comply with specific document formats or missing signatures often leads to immediate disqualification).
- Communication: Ability to liaise with biomedical engineers, suppliers, and procurement officers.
- Tech-Savviness: High proficiency in Microsoft Office (Excel, Word) and digital e-procurement portals.
EDUCATION BACKGROUND
- Minimum Diploma or Bachelor’s Degree in Business Administration, Supply Chain Management, procurement, Bio Medical Engineering or a related field.
- At least 2 to 3 years of administrative experience in tender processing within healthcare, pharmaceuticals, or medical supplies procurement or tendering.
