Job Description/Requirements
KEY RESPONSIBILITIES
1. Strategic Operations Leadership
● Oversee the daily functioning of all non-academic departments, including finance, procurement, HR (non-teaching), transport, infrastructure, ICT, and safety.
● Translate institutional goals into operational plans, policies, and procedures that ensure consistency, compliance, and efficiency across all school levels.
● Support the Principal and academic team by providing a reliable, well-coordinated operational environment for teaching and learning to thrive.
2. International Curriculum Rollout and Integration
● Lead the operational design, setup, and launch of school's international curriculum stream.
● Coordinate licensing, regulatory approvals, infrastructure upgrades, resource planning, and stakeholder onboarding for the international school stream.
● Establish administrative frameworks and calendars that align with international program requirements while harmonizing with CBC and 8-4-4 systems.
3. Kindergarten and Early Years Management
● Spearhead the setup and day-to-day management of the school’s Kindergarten and Early Years section.
● Ensure developmentally appropriate infrastructure, health and safety compliance, caregiver deployment, and nutrition systems tailored to preschool learners.
● Implement routines, schedules, and parent communication systems that meet the needs of young learners and their families.
4. Financial Oversight and Resource Stewardship
● Prepare and manage the school’s annual budget; monitor expenditures and enforce fiscal discipline.
● Oversee all procurement and vendor relationships to ensure value, quality, and timely delivery.
● Maintain audit readiness and transparent documentation of all financial transactions and operational costs.
5. Facilities, Infrastructure and Project Management
● Manage maintenance, utilities, security, and physical improvements across all school sections.
● Lead execution of capital projects, including renovations, expansions, and technology upgrades.
● Ensure projects are delivered on time, within budget, and in compliance with quality and safety standards.
6. Human Resource Management (Non-Academic Staff)
● Supervise recruitment, training, scheduling, and appraisal of all non-teaching staff, including drivers, security, housekeeping, and support teams.
● Promote a performance-driven, values-aligned support culture through clear KPIs and development plans.
● Ensure full compliance with labor laws and staff welfare policies.
7. Admissions, Onboarding, and Stakeholder Service
● Lead a streamlined, professional admissions process across CBC, 8-4-4, international, and kindergarten streams.
● Monitor enrolment pipelines, conversions, and family onboarding experiences to meet retention and intake goals.
● Collaborate with marketing teams to position the school competitively and drive sustained growth.
8. Regulatory Compliance and Quality Assurance
● Ensure full compliance with all regulatory bodies, including the Ministry of Education, Ministry of Health, County Government, international accreditation bodies, and ECD regulators.
● Maintain updated documentation, licenses, health and safety certifications, risk logs, and policy registers.
● Coordinate external inspections and internal audits to uphold operational standards and safeguard institutional reputation.
9. Health, Safety and Risk Management
● Establish and monitor systems for emergency preparedness, fire safety, hygiene protocols, and security.
● Lead the school’s safety committee and coordinate staff training in first aid, evacuation, and risk prevention.
● Investigate incidents, document risk exposure, and implement mitigation plans.
10. Governance Support and Executive Reporting
● Serve as a primary advisor to the Board of Management on all non-academic matters.
● Prepare termly and annual reports on operational performance, project progress, enrolment trends, and risk status.
● Ensure alignment between operational execution and board-approved priorities.
