Job Summary

Provide comprehensive HR support to the HR Business Partner (HRBP)-Manufacturing in managing and executing HR functions for the teams. This role will focus on HR operations, employee engagement, talent management, compliance, and process improvement to ensure efficient HR service delivery and a positive employee experience.

Job Description/Requirements

HR Operations/Administration

  •  Facilitate workflows by drafting various HR letters, Memos, and other correspondences for the assigned Business Unit-Manufacturing.
  •  Collect Casual and attaches’ details as per schedule and share them with the HRBP for payment processing.
  •  Support with planning and logistics during various staff engagements
  •  Update and maintain an organized filing system for all Manufacturing staff records.
  •  Assist in filling loan application forms, verifying them with the HRBP and submission to the bank.
  •  Support in the filing of documentation and reports
  • Prepare various reports and templates as may be directed from time to time

 

Talent Acquisition & Development

  • Assist in recruitment by coordinating interviews, shortlisting candidates, and conducting background checks.
  • Support the onboarding process, ensuring new employees integrate smoothly into the organization.


Learning & Development

  • Support Training reimbursement by NITA through timely application and follow-up for Manufacturing Attache’s and Interns.
  • Assist the HRBP in Training coordination through sharing training materials and attendance lists.


Contract Management

  • Work closely with the HRBP to create fixed-term contracts for the Manufacturing Employees and updating contract management database.
  •  Ensure that all necessary paperwork and documentation are completed accurately and maintained appropriately.
  • Support in conducting HR Audits by ensuring all personnel files are up to date with required documents.


Performance Management

  •  Support in managing probations of new and promoted junior staff.
  •  Provide HRBP with insights from performance data to aid in talent planning.


Leave Management 

  • Liaise with HRBP in Posting leave and filing leave forms.
  • Countercheck absent reports and leave reports to ensure they tally and for attendance accountability.
  • Maintain accurate records of employee leave balances, accruals, and usage


Employee Relations & Staff Welfare

  •  Support the HRBP in taking and drafting of minutes during disciplinary hearings.
  •  Follow-up with disciplinary committee members and staff for execution of meeting minutes upon approval.
  •  Update the staff welfare sheet on a daily, weekly, and monthly basis for newborn, bereavements, hospital visit and weddings for the Manufacturing staff.


Staff Benefits Administration

  •  Ensure that all new staff are enrolled in the medical and pensions schemes upon successful completion of their Probation.
  •  Ensure exiting employees are deleted from the Pension and Medical schemes.
  •  Follow up on accurate registration of staff dependants on the company’s Medical and Pension Schemes.
  •  Timely escalation of any complex benefits issues to the HRBP.


Shared HR Services

  • Support the HRBP in the arrangement and coordination of meetings, workshops, and training sessions for the HR department.
  • Liaise with HRBP in coordination of shared HR-related events and activities, such as team building and training workshops.


1. Skills and Experience:  At least 6 months experience in a busy HR office

2. Education:  Bachelor's degree in Human Resources or equivalent

3. IHRM Certification:  Must be an associate member/Full member of IHRM
