Technical & Business Development Assistant/Intern – Job
Description, TOR & Performance Contract -KSH.15,000 MONTHLY

Key Responsibilities:
A. PROJECT & TECHNICAL SUPPORT
1. Project Documentation & Reporting
- Maintain technical files: drawings register, RFI logs, material approvals, method statements.
- Prepare weekly and monthly progress reports.
- Draft and circulate minutes of meetings.
- Update project schedules with the project planner.

2. Procurement & Logistics
- Prepare material requisitions and vendor comparison tables.
- Track procurement timelines and coordinate with suppliers.
- Support inventory management.

3. Communication & Coordination
- Liaise between site teams, engineers, consultants, subcontractors.
- Ensure timely technical communication.
- Support inspections with clients and consultants.

1B. BUSINESS DEVELOPMENT & MARKET ACQUISITION
4. Market Intelligence
- Conduct market research and track competitor trends.
- Maintain pipeline of leads, tenders, and opportunities.

5. Client Acquisition & Proposal Support
- Assist in preparing EOIs, capability statements, and proposals.
- Support outreach to clients and partners.
- Maintain CRM database.

6. Company Visibility & Branding
- Manage company social media pages.
- Prepare brochures, newsletters, and project updates.
- Capture project photos and milestones.

7. Partnership & Stakeholder Engagement
- Support JV partner identification and engagement.
- Prepare MOUs and partnership briefs.

Terms of Reference (TOR)
Position: Technical & Business Development Assistant/Intern
Reporting To: Project Manager / Business Development Manager
Duty Station: Office & Project Sites
Contract: 1-year renewable based on performance

2Objectives:
- Strengthen project documentation.
- Enhance market research and business acquisition.
- Improve company visibility.
- Support stakeholder coordination.

Scope of Work:
- Manage and maintain technical documentation.
- Prepare reports and procurement trackers.
- Conduct market research.
- Assist in EOIs, tenders, proposals.
- Manage social media updates.
- Coordinate with teams and partners.

Deliverables:
- Weekly progress reports
- Monthly BD and project reports
- Updated drawings register, RFIs, procurement tracker
- Updated CRM
- Monthly social media activity
- Minutes of meetings

3Performance Contract (KPIs)
A. Technical KPIs
- Documentation accuracy: 98%
- Weekly reports submitted every Friday
- Monthly reports by 3rd of each month
- Weekly schedule updates
- Zero material stock-outs

B. Business Development KPIs
- 5 new leads per month
- At least 4 proposals/EOIs per month
- Weekly CRM updates
- Attend one industry event per quarter

C. Branding KPIs
- 8–12 social media posts per month
- 10% engagement growth per quarter
- Minimum two marketing materials per month

D. Stakeholder KPIs
- 100% meeting coordination
- 3 JV/partner leads per quarter
- Zero inspection delays
