JOB SUMMARY
About the Sustainable Economic Development (SED) ClusterPromotion of youth employment is a key priority of bilateral cooperation between Kenya and Germany. The Sustainable Economic Development (SED) Cluster, commissioned by the German Federal Ministry for Economic Cooperation and Development (BMZ) and implemented by Deutsche Gesellschaft für Internationale Zusammenarbeit (GIZ) GmbH, promotes sustainable employment opportunities, economic growth and prosperity in Kenya.The Cluster works closely with government, private sector, civil society and academia to support job creation, youth skills development, entrepreneurship, digitalization, gender mainstreaming and emerging green sectors. Its initiatives focus on strengthening the labour market, supporting start-ups and young businesses, and improving the enabling environment for sustainable economic development, digital transformation and trade.Through its bilateral, regional and global projects, the Cluster contributes to increased employment and income opportunities and improved living conditions, particularly for young people, their families and communities.About the Position: The Administrative Specialist supports Cluster Management in ensuring effective coordination, information management and administrative processes across the Cluster. The position works closely with project teams, Service Units and external stakeholders to facilitate efficient coordination and smooth implementation of Cluster activities.Core ResponsibilitiesThe Administrative Specialist will:Provide administrative and organisational support to Cluster Management, including calendar management, meetings, travel arrangements, documentation and follow-up of management decisions.Coordinate Cluster Management meetings, retreats, workshops, inductions and other internal events, ensuring effective planning, logistics and documentation.Support staff onboarding and induction by coordinating with HR, Service Units and project teams and ensuring new staff receive relevant Cluster information.Coordinate the day-to-day administration and smooth operation of the SED Cluster office, including facilities, office space, access cards, utilities, lease administration and shared office costs.Liaise with building management, service providers and IT colleagues to ensure effective office facilities and operational support.Coordinate administrative arrangements for satellite SED Cluster offices and support consistent administrative standards across locations.Support Service Units and project teams with Cluster-wide administrative processes, framework agreements, documentation, approvals and other management requests.Maintain accurate records, action trackers and an overview of Cluster projects, key milestones, partners and relevant administrative information.Handle confidential information and documentation with a high degree of discretion.Provide backup support to administrative colleagues and undertake other duties assigned by Cluster Management.Qualifications and Experience:University degree or equivalent qualification in Business Administration, Public Administration, Social Sciences, Political Science, International Development or a related field.At least four years of professional experience in administrative coordination, project support or programme management, preferably within an international organisation.Experience working in a multicultural environment is an advantage.Additional Knowledge and Competencies:Strong working knowledge of MS Office, particularly Microsoft Teams, PowerPoint and Excel; knowledge of SAP applications is an advantage.Excellent command of English and Swahili.
