The Front Office Executive serves as the face of the organization, responsible for managing the front desk, handling the switchboard, and delivering a seamless guest experience. Key Responsibilities
1. Front Office & Guest Management
- Greet and welcome all visitors, clients, and stakeholders in a professional manner
- Ensure a high-quality guest experience from arrival to departure
- Maintain visitor logs, issue access badges, and coordinate security clearance
- Inform concerned employees of visitor arrivals promptly
- Manage waiting areas to ensure cleanliness and comfort
2. Switchboard & Communication Handling
- Operate and manage the multi-line switchboard system efficiently
- Answer, screen, and route incoming calls to appropriate departments
- Take accurate messages and ensure timely communication
- Handle high call volumes with professionalism and etiquette
- Maintain call logs and monitor response timelines where required
3. Meeting & Coordination
- Manage meeting room bookings and scheduling
- Coordinate refreshments and logistical arrangements for meetings
- Support senior management visits and VIP guest handling
4. Administrative Support
- Handle incoming/outgoing mail, courier services, and deliveries
- Assist with basic administrative tasks (data entry, document handling, filing)
- Coordinate with HR/Admin for onboarding logistics (ID cards, workspace readiness)
5. Office Coordination & Compliance
- Liaise with internal teams for smooth communication and operations
- Ensure adherence to security protocols and visitor policies
- Maintain confidentiality of sensitive information
Qualifications & Skills
- Graduate in any discipline
- 2–4 years of experience in a corporate front office/reception role
- Experience in handling EPABX / switchboard systems is essential
- Excellent verbal and written communication skills
- Strong interpersonal and customer service orientation
- Proficiency in MS Office
- Well-groomed, presentable personality
