We are seeking a friendly, organized, and detail-oriented Front Office Manager to be the face of our facility. The ideal candidate will ensure a welcoming environment for patients while efficiently managing front desk operations and supporting smooth facility workflows.

Job descriptions & requirements

Key Duties and Responsibilities Front Desk & Patient Experience • Keep the front desk clean, tidy, and well supplied at all times. • Maintain an orderly and professional physical appearance. • Greet and welcome patients warmly and courteously. • Ensure the waiting area is neat, well arranged, and comfortable at all times. • Ensure front desk lights, background music, and TV are switched on and functioning. Patient Management • Manage patient bookings and appointments efficiently. • Respond promptly to patient inquiries and address complaints immediately and pro fessionally. • Ensure all patient-related tasks are handled accurately and on time to enhance patient experience. Communication & Correspondence • Answer all incoming calls and redirect concerns to the appropriate staff for action. • Receive letters and packages and forward them to the appropriate destination. • Prepare and manage outgoing mail. • Check, sort, and forward emails as required. Administrative & Office Support • Monitor office supplies and replenish them before they run out. • Maintain and update records and files accurately. • Ensure office stamps display the correct date, month, and year at the start of each day. • Ensure adequate patient registration forms are available at the start of the day. • Ensure clipboards are clean and ready for use, with sufficient pens available. • Ensure the PDQ machine is fully charged at the start of the day. Insurance Documentation • Ensure all insurance forms are fully completed and signed by the respective doctor at the end of the day. • Confirm all insurance forms have patient signatures and that patients carry the forms to the consultation room.
