The role guides Deans, trainers, and support units to maintain MedPrime’s academic standards and operational excellence.

Job Description/Requirements
A. ACADEMIC LEADERSHIP & QUALITY OVERSIGHT (Certificate and Diploma courses (long courses) under Principal) A.a. PoE (Portfolio of Evidence) Verification & Oversight
• Ensure all training programs maintain complete, compliant Portfolios of Evidence.
• Oversee PoE verification processes and confirm institutional readiness for internal and external moderation.
• Oversee internal PoE verification and moderation processes.
• Ensure Deans and trainers adhere to PoE quality checks and timelines.
• Provide final institutional confirmation before external verification.
B. ASSESSMENT & EXAMINATION MANAGEMENT (Long Courses)
B.a CAT Marks Entry & Academic Data
• Confirm timely marking and entry of CAT marks into Intellimis.
• Identify data gaps, errors, or discrepancies and resolve them with trainers.
• Ensure CAT schedules and marking deadlines are followed. B.b Revision Week & Final Exam Preparedness
• Prepare revision week and final exam schedules and coordinate.
• Ensure all exam materials (invigilation lists, papers, marking guides) are ready.
• Oversee compliance with assessment policies and exam rules.
• Participate in external examiner coordination for FQEs
C. STUDENT EXPERIENCE, WELFARE & SUPPORT
C.a: Student welfare and support
• Provide oversight for student welfare and discipline cases escalated by trainers
• Sensitize students on official communication channels (suggestion box, feedback forms and tell-us@medprime.ac.ke) and ensure feedback is acknowledged and responded with appropriate support
• Approve academic communication memos, student engagement plans and welfare programs.
• Host structured sessions whereby students sitting FQEs interact with current learners and share their insights and practical experience.
• Oversee LAC program across all campuses monthly.
C.b Student Communication
• Issue key student communication such as: o Revision week dates o FQE exam dates and results release dates to access to results o Graduation dates
• Ensure communication is timely, clear, and documented using approved college communication channels: Emails, official whatsaspp groups, noticeboards.
D. STAFF LEADERSHIP, SUPERVISION & DEVELOPMENT
D.a. Institutional Staff Supervision
• Issue academic feedback forms to students monthly
• Conduct performance evaluations for all trainers and academic staff.
• Approve trainer hiring decisions recommended by HR and Dean
• Enforce high standards of professionalism, productivity, and accountability across the institution.
D.b. Talent Development & Academic Capacity Building
• Identify training needs for Dean and trainers
• Approve and oversee Training-of-Trainers (TOT), leadership development, and staff professional development initiatives. • Promote a strong culture of continuous improvement.
E. OPERATIONAL & INSTITUTIONAL OVERSIGHT
E.a Institutional Coordination
• Oversee academic data across the institution (attendance, performance, PoE status, exam readiness).
• Lead cross-departmental coordination between: Dean of College Administrator, Clinical Assessors & Internship Coordinators of Trainers o Class Reps E.b. Reporting & Communication
• Review weekly (Whatsapp) and monthly academic reports from all departments.
• Provide summary reports and recommendations to the CEO.
• Ensure effective communication between academic teams, management, and student support. E.c. Institutional Strategy & Improvement
• Recommend institutional improvements that enhance quality, student outcomes, and operational efficiency.
• Participate in strategic planning, expansion, and institutional growth initiatives.
