Job Description/Requirements
Reception and Front-Desk Management:
● Greet patients and visitors warmly, ensuring a welcoming environment.
● Schedule and manage appointments using clinic management software.
● Handle phone calls, emails, and inquiries efficiently.
● Maintain an organized reception area and manage patient check-ins and check-outs.
Administrative Support:
● Assist in managing correspondence, filing, and other administrative tasks.
● Coordinate with dental technicians, dentists, and other staff to ensure seamless workflow.
● Maintain and update patient records securely and accurately.
Bookkeeping and Financial Management:
● Record and process payments, issue receipts, and reconcile daily transactions.
● Manage invoices, supplier payments, and petty cash.
● Prepare basic financial reports and assist with tracking clinic expenses and revenue.
● Ensure compliance with financial protocols and maintain accurate bookkeeping records.
Operational Support:
● Order and manage office and clinic supplies as needed.
● Liaise with service providers for equipment maintenance and other operational needs.
Qualifications:
● Education: High school diploma or equivalent; additional qualifications in administration, accounting, or a related field are a plus.
● Experience: Minimum of 2 years of experience as a receptionist, secretary, or in a similar role, with familiarity in bookkeeping.
● Proficiency in clinic management software and basic accounting tools (e.g., QuickBooks, Excel).
